About The Position

The Office Administrator at FlightSafety International is responsible for providing high-level administrative support to ensure efficient operations at the Learning Center. This role involves coordinating various administrative activities, supporting HR and customer service functions, and acting as a liaison for site leadership and employees.

Requirements

  • High school diploma or GED required; Bachelor's degree in business or related field preferred.
  • Two or more years of related experience in administrative assistance, HR coordination, or customer service.
  • Proficient in Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint; MS Access is a plus.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills in a collaborative environment.
  • Project management skills with attention to detail and ability to organize multiple activities.
  • Critical thinking skills and independent motivation to solve problems.
  • Excellent time management skills with the ability to prioritize tasks.

Nice To Haves

  • State Notary Public certification preferred.

Responsibilities

  • Serve as a central liaison and administrative support partner for site leadership.
  • Manage and coordinate general office duties and communications, including handling calls, mail, and inquiries.
  • Coordinate webcasts and video conferences for internal and remote locations.
  • Submit invoices to accounts payable after obtaining necessary approvals.
  • Coordinate employee recognition programs and events, including service anniversaries and awards.
  • Prepare internal and external business documents and memos.
  • Maintain and utilize Outlook calendars; schedule meetings and conferences.
  • Reserve travel arrangements and manage itineraries for center leadership.
  • Coordinate Center/site events and functions as assigned by the Center Manager.
  • Assist with new hire orientation and manage local communication needs.
  • Manage badge access, key distribution, and door rules for the center.
  • Assist HR with I-9 documentation and maintain local personnel files.
  • Coordinate DOT paperwork and complete data entry for the Safety Sensitive Duty program.
  • Act as the coordination point of contact for the Safety team on all reporting.
