Auburn Heating, Cooling, Electric & Plumbing is seeking an experienced Office Administrator to join their elite team. This role involves managing daily office operations across multiple trades, ensuring everything from customer invoicing to permit applications runs smoothly. Requirements

  • A minimum of 2+ cumulative years of professional experience in office administration or a related operations field.
  • High proficiency in Microsoft Excel, including data organization, formulas, and reporting tools.
  • Comfortable with modern productivity tools.
  • A natural ability to bring structure to dynamic, evolving environments and manage multiple projects simultaneously under tight deadlines.
  • Exceptional verbal and written communication skills with a focus on upholding company values in every interaction.
  • A positive attitude, flexibility, and a passion for team success.

Nice To Haves

  • Experience with Service Titan and/or Sage Accounting.

Responsibilities

  • Manage daily office operations across multiple trades, providing administrative support to managers across various departments.
  • Manage and coordinate Purchase Orders, provide support on AR/AP error reports, and make collection calls to ensure timely payments.
  • Invoice customers with high accuracy, submit local permit applications, and handle the registration of installed equipment and warranties.
  • Provide excellent phone etiquette and clear communication while assisting with job coordination and customer scheduling.
  • Take ownership of maintaining a clean, well-stocked, and clutter-free office environment.
  • Handle sensitive information with the highest level of discretion.
  • Play a key role in building an inclusive company culture and assist with new hire onboarding and special projects (including Marketing/Social Media) as needed.
