We are seeking an experienced and dynamic Office Admin to join our team. Deliver a best-in-class in-office experience by welcoming guests, coordinating employee events, and ensuring seamless scheduling across leadership, hiring, and team development activities. This role serves as the central hub of the office—supporting day-to-day operations, enabling executive effectiveness, and fostering a positive, connected workplace environment.

Requirements

  • 2–4+ years in an administrative, office management, or coordinator role
  • Fluent in both Spanish and English (spoken and written)
  • Ability to translate clearly and professionally in real-time conversations
  • Proficiency in Google Workspace (Calendar, Gmail, Sheets, Docs) or similar tools
  • Experience with scheduling tools and basic administrative systems

Nice To Haves

  • Experience supporting executives and/or managing office operations preferred

Responsibilities

  • Serve as the first point of contact for visitors and employees, creating a professional, welcoming, and organized office environment.
  • Manage the President’s calendar, coordinating meetings, prioritizing requests, and ensuring efficient use of time.
  • Coordinate interviews, trainings, and new hire orientations, ensuring a seamless and timely experience for candidates and employees.
  • Plan and execute in-office events, supporting team engagement and reinforcing company culture.
  • Provide Spanish-English translation during employee interactions, including supporting employee relations conversations when needed.
  • Support day-to-day administrative needs including mail, supplies, vendor coordination, and general office organization.
