We are currently seeking an experienced and proactive Office Administrator to join our growing team! You will be responsible for c oordinating daily office operations to ensure efficiency and professionalism by managing calls, supporting administrative needs, assisting with supply purchasing and travel arrangements, and providing Accounts Payable support through invoice entry and discrepancy resolution.

Requirements

  • High school diploma or equivalent
  • 2 years of administrative experience
  • Strong professionalism and customer service presence
  • High attention to detail and ability to follow process
  • Organized, dependable, and able to manage multiple priorities
  • Comfortable with phone systems, email, and office software (Outlook/Excel)
  • Ability to communicate clearly with vendors and internal teams
  • Basic understanding of purchasing and invoice processing preferred
  • Strong customer service mentality

Responsibilities

  • Office & Administrative Support
  • Answer incoming calls promptly and professionally and route calls accurately
  • Greet and direct visitors; maintain a professional front desk presence
  • Manage incoming/outgoing mail and packages
  • Maintain cleanliness and organization of lobby, reception, and common areas
  • Maintain office supplies, refreshments, and shared office needs
  • May assist with coordination of internal events, lunches, and meetings as needed
  • Travel Management (Sales + Leadership Team)
  • Book travel for sales and leadership team including flights, hotels, rental cars, and other logistics
  • Ensure travel is arranged cost-effectively and aligned with company standards
  • Assist with changes/cancellations and resolve travel issues quickly
  • Maintain centralized tracking/log of travel booked (who/when/cost/vendor)
  • Purchasing Support (Office + Shop Supplies)
  • Purchase office supplies and shop supplies as requested/approved and maintain accurate documentation
  • Coordinate with Purchasing Department on vendor usage and ordering standards
  • Ensure orders are placed timely to avoid downtime or shortages
  • Confirm deliveries and follow up on missing/incorrect shipments
  • Accounts Payable Support (Invoice Entry + Freight Disputes)
  • Enter vendor invoices into AP system, including freight invoices
  • Match invoices to purchase orders/receiving documentation where applicable
  • Identify and flag pricing, quantity, or freight discrepancies
  • Assist with disputing invoice differences with vendors and coordinating resolution
  • Ensure proper documentation is maintained for disputes and credits
  • Escalate unresolved issues to AP lead/Controller as needed
  • May perform other duties as required by business needs
