About The Position

Webdrill is a respected provider of underground drilling services, known for our commitment to safety, reliability, and performance in remote underground drilling operations. We're currently seeking a dedicated and experienced Administrator to work in our office located in Fairbanks Alaska. Working with the Site Operations team, this role will be responsible for supporting the Site Supervisors and Human Relations team with administrative and support services . Administrative & Reception Support Support the Human Relations team and Site Supervisors with any tasks, as required. May be some local travel involved; pick up/drop off of personnel from hotel, airport etc., assist new starters with going to the local bank and/or Social Security office, going to the local store to pick up supplies etc. Prepares routine correspondence, office forms and/or other business related documents. Performs data entry/retrieval functions. Handles Incoming and Outgoing mail and deliveries and inter-office communications. May perform office supply inventory and replenishment services. Schedule conference rooms and assist in setting up meetings, as required. Welcome visitors by greeting them and directing them to appropriate location. Maintain office space, ensuring tidiness, cleanliness, security of confidential documentation, and ensuring Company materials are stocked. Participation in organization team meetings, planning activities, and other meetings or activities as required and relevant to the position. Contribute to continuous improvement of systems and processes, ensuring services meet professional and industry standards. Oversee and assist with arrangements for all planning days, Company events and branded merchandise required. Accounting & Payroll Support Assist with the maintenance of the accrual databases. Issuing of accruals reports to the client, resolving any queries before final issue. Assist with any invoicing preparation, issuing, receiving, reporting, corrections, as required. Assisting the Site Supervisors with the management of the roster/time & attendance spreadsheet to ensure correct data is recorded. Working with the Site Supervisors and ADP Payroll to ensure all payroll transactions are processed efficiently and in a timely manner, resolving any discrepancies. Processing reimbursements and/or deductions, as required. Travel Support Book all travel requirements through the appropriate portals, recording details for back-charging, coding, and reconciliation purposes.

Requirements

  • 2 years of experience in administration, accounts or similar.
  • High school diploma or General Education Degree (GED).
  • Valid driver's licence.
  • May need to use own vehicle for local travel if Company vehicle is unavailable.
  • Will be supplied with Company fuel card and/or reimbursement of fuel, parking etc.
  • Maintain organization, accuracy, and attention to detail.
  • Ability to multitask effectively.
  • Customer service skills.
  • Exceptional communication skills, both written and verbal.
  • Ability to apply common sense understanding to carry out written or oral instructions.
  • Experience with Microsoft Office Suite and SharePoint.

  • Ability to pass a comprehensive background check, pre-employment physical, and drug & alcohol screen.
