About The Position

DeepSig Inc. is a venture-backed technology company pioneering the use of AI in 5G and other wireless systems by replacing traditional signal processing with machine learning. DeepSig software products achieve significant performance increases while reducing power consumption to bring value to our customers. We are seeking a proactive and detail-oriented Office Administrator to manage daily administrative tasks, ensure smooth office operations, and provide support to various departments. The ideal candidate will be organized, efficient, and capable of handling a range of administrative and clerical duties with a positive attitude.

Requirements

  • 3+ years of experience as an Office Administrator, Administrative Assistant, or similar role.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with office equipment (e.g., printers, fax machines).
  • High school diploma or equivalent; associate or bachelor’s degree preferred.

Responsibilities

  • Oversee day-to-day office operations to ensure a clean, organized, and efficient work environment.
  • Serve as the first point of contact for visitors, vendors, and general inquiries.
  • Manage office supplies inventory and place orders as needed.
  • Assist with purchasing equipment; ensure high-value items are properly labeled and tracked through a location log.
  • Coordinate facility maintenance and liaise with building management as necessary.
  • Handle incoming/outgoing mail, email correspondence, and phone communication.
  • Organize employee and office activities, including planning and coordinating company meetings, social events, and appointments.
  • Assist with travel arrangements, accommodation and expense reporting.
  • Willing to be trained to assume the Facilities Security Officer (FSO) role, which requires obtaining security clearance; an external contractor handles most responsibilities, but the W2 employee must be the FSO.
  • Coordinate company moves and serves as liaison for IT services.
  • Supporting various projects and initiatives as needed.
