About The Position

The Office Administrator supports the area project teams and job sites and is responsible for the administrative functions to ensure successful operation in the area. The Office Administrator is responsible for maintaining administrative procedures and inventory control.

Requirements

  • Minimum five years of work experience in an administrative/office role
  • Associate degree in business administration, communications, or a related field preferred
  • Proficient with Microsoft Office (Excel, Word, PowerPoint, SharePoint)
  • Excellent interpersonal skills and the proven ability to work well with all levels of management and staff
  • Exceptional attention to detail
  • High level of integrity and confidentiality
  • Strong organizational and time management skills, ability to prioritize tasks to meet deadlines
  • Process new/rehires through the onboarding process via HRIS system

Responsibilities

  • Job set up which includes, assisting with billing for T&M, lump sum and direct rentals and conducts billing adjustments.
  • Responsible for completing the tasks of timekeeping, billing, invoicing and Purchase Orders.
  • Submit findings to corporate A/R team on any outstanding accounts receivable and collections related to clients in the entire area.
  • Partner with HR to communicate policies to employees.
  • Provide customer service by answering phone calls and greeting visitors.
  • Maintain shipping and receiving and office and IT equipment for the office.
  • Collect time for entire area, make needed hours adjustments, review and submit to payroll coordinator.
  • Organize and schedule meetings and appointments.
  • Onboarding duties which include: Partner with internal departments such as I.T. on all office equipment.
  • Assist in maintaining employee data in the HRIS system by submitting job changes, transfers, leaves of absences and terminations.
  • Schedule employees for all pre-employment screening and training requirement and ensure employee is compliant for jobsite prior to start date
  • Complete I-9 verification process.
  • Other duties as assigned.
