About The Position

The Office Administrator will be responsible for a variety of administrative support functions for the Executive Leadership Team, the Board of Directors, and other departments, including scheduling, meeting setup and coordination, supply ordering and management, organizing and preparing correspondence, compilation of data and reports, and customer service. A high degree of discretionary judgment, commitment, flexibility, and dependability is essential for this position. This position will primarily report to the Main Campus in Akron. Salary range: $45,000-$50,000 based upon experience. Shift: M-F, 8am-4pm

Requirements

  • High School Diploma
  • One to three years of administrative/office support experience and/or customer service experience
  • Excellent project management and organizational ability.
  • Ability to work effectively and patiently with a diverse group of individuals, including children, young adults, elderly, and the physically and mentally challenged.
  • Must be able to discern work priorities and meet deadlines with little supervision and be willing to travel throughout the eight-county service region as needed.
  • Proficient in preparing and executing effective communication strategies, both verbal and written to a wide variety of internal and external stakeholders.
  • Experience working with people in a social service setting.
  • Proficient in Word, Excel, Outlook, PowerPoint, etc.
  • Ability to develop cooperation and teamwork while participating in a group of people, working toward solutions to benefit all involved parties.
  • Demonstrate appropriate professional behavior using a high degree of tact and diplomacy in working with others; models and exercises sound judgment regarding interpersonal relationships; maintains stable performance and emotional control when faced with opposition, pressure, hostility from others or otherwise stressful conditions.
  • Able to research, analyze and troubleshoot problems.
  • Able to apply learning appropriately.
  • Work independently, set priorities and anticipate reporting and communication needs of supervisor.
  • Must be able to follow all American Institute of Baking, Feeding America, Food and Drug Administration, United States Department of Agriculture, Occupational Safety Hazard Administration, and Foodbank (standard operating procedures and employee handbook) safety regulations.

  • Experience with Raiser’s Edge and BoardEffect preferred.

Responsibilities

  • Provide administrative support to the executive leadership team by attending ELT and other important internal meetings (as requested), recording minutes, managing tasks/timelines, and assisting with internal calendar management.
  • Coordinate event attendance for staff, including registration, sponsorships, etc. and coordinate travel, including hotel registration, per diem requests, etc. as warranted.
  • Provide support for board and committee meetings, including scheduling, tracking attendance, creation of packets, coordination of meals and refreshments, and updates to the BoardEffect platform.
  • Manage budget and ordering of supplies for all office locations, including paper, copiers, kitchen, food for internal use, etc.
  • Support HR through scheduling and organizing staff meetings, including room set up, ordering food/snacks, coordinating agendas, etc.
  • Ensure proper review and storage of organizational documents, including SOP's, contracts, etc.
  • Support compilation of data and reports for internal and external use, including preparation for audit, quarterly/annual reports, etc.
  • Safeguard sensitive and confidential conversations and information.
  • Maintain personal and professional conduct consistent with high level access to organizational leadership and information.
  • Assist in resolving complex and sensitive customer service issues, either personally, by phone or in writing; maintain records and documents of customer service issues or involve leadership to ensure appropriate resolution.
  • Support special projects as assigned by department leadership.
  • Follow-up on relevant tasks as directed by President & CEO as warranted.
  • Demonstrate knowledge about the communities served by the Foodbank and serve as an effective and informed Foodbank liaison.
  • Perform other duties, as required.
