Role Summary As an Office Administrator/Staff Assistant, you’ll be the organizational anchor of our Lewiston office, providing essential administrative, project, and operational support. Your work will span day‑to‑day office coordination, fleet and equipment tracking, documentation support for project teams, and ensuring smooth communication between local operations and corporate partners. This is a dynamic, people‑focused role—perfect for someone who thrives in an environment where no two days look the same. Given the high level of day-to-day support this role provides, the Office Administrator/Staff Assistant will work on-site at our Lewiston, ME office to best serve our team.

Requirements

  • Strong organizational and planning abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office
  • Ability to manage multiple priorities with accuracy and professionalism
  • A customer‑service mindset and collaborative spirit
  • Associate or Bachelor’s degree preferred (or equivalent relevant experience)
  • Previous experience in an office administrative or staff assistant role is valued

Responsibilities

  • Handling incoming/outgoing mail
  • Managing office supply ordering and stocking
  • Coordinating daily office activities
  • Scheduling safety equipment inspections and maintenance
  • Ordering and tracking employee PPE
  • Supporting travel scheduling for project teams
  • Assisting with document control needs
  • Generating reports that help keep projects on track
  • Tracking and scheduling maintenance and repairs
  • Monitoring registrations, inspections, and insurance
  • Coordinating with the corporate fleet team and rental partners
  • Collaborating with Human Resources & Talent Acquisition on onboarding and offboarding
  • Supporting employee orientations and training
  • Assisting with resume development
  • Tracking employee certifications and required trainings
  • Helping plan and coordinate meetings, events, and team activities
