Requirements

  • 3+ years of experience working in a professional business office environment.
  • Experience in bookkeeping, accounting, or related experience is preferred.
  • Bilingual (English/Spanish) highly desired.
  • Must possess a fundamental understanding of office practices.
  • Must be highly organized and detail oriented, able to multitask and prioritize, work under minimum supervision, and complete tasks in a timely manner.
  • Demonstrated ability to provide excellent customer service, open to and willing to act upon feedback.
  • Must be able to use computers, cell phones, office equipment, and other electronic devices.
  • Must have appropriate typing skills and be proficient in Google Office products (Word, Excel, Email, etc) or equivalent.
  • Outstanding communication skills and ability to interact well with people at all levels of the organization.
  • Must act with unyielding integrity and honesty in business transactions, follow and promote company policies and procedures, and hold self and other employees accountable.
  • Valid driver's license.

Responsibilities

  • Performs a variety of daily administrative duties as required by the plant manager.
  • Prepares month-end closing information for Accounting based on the current closing schedule.
  • Prepares detailed analyses of monthly margin and cost statements as requested by location management.
  • Assists with filing and document record-keeping according to retention guidelines and requirements.
  • Assists with purchase orders, payables, credit card reconciliations, bank deposits, cost-tracking, and fuel usage and receipts.
  • Maintains correct inventory levels for all plant and office materials and supplies.
  • Maintains office spaces clean and organized (meeting/training rooms, lobby, break areas, storage spaces, and restock fridge and cabinets with supplies as needed).
  • Receives, distributes, and prepares correspondence, reports, forms, and documents and translate as needed.
  • Assists with company meetings and events (event coordination and preparation, room setup & cleanup, attendees list, catering, hotel bookings, directions, etc).
  • Maintains conference/training rooms calendars and site training schedules.
  • Assists with new hire onboarding process (i.e. prepare new hire packet and welcome kits, I9 compliance, new hire orientations, employee pictures, request employee access and credentials).
  • Partners with Human Resources team in communicating and resolving employee inquiries and requests (i.e. benefit questions, verifications of employment, direct deposit and beneficiary changes).
  • Assists with employee benefits enrollment (i.e. annual open enrollment, requesting/resetting employee credentials, facilitate benefits portal login, enrollment deadline reminders, Q&As, etc).
  • Assists with employee time-tracking, missed punches, holiday and weather pay entries, time off requests in Kronos, badge activation, Kronos trainings, and labor planning.
  • Tracks, submits, and keeps records of boot reimbursement requests and receipts.
  • Supports communication and distribution of Service Award Certificates and other employee recognition incentives and awards.
  • Assists in organizing and executing Employee Engagement Activities (MLK Day, Hispanic Heritage, Take Your Child to Work Day, Holiday Functions, etc).
  • Partners with Safety Team in handling site safety and environmental issues.
  • Assists with preparing, distributing, and record keeping of site-specific and compliance documentation (i.e. safety trainings/meetings, shift inspection forms, pre-shift safety topics, etc).
  • Serves as Plant Contact. Receives guests and answers phones, directing questions or problems to the appropriate individual.
  • Maintains walk-in/visitor logs.
  • Assists with managing and communicating with site vendors (uniforms, housekeeping, utilities, shipping vendors, etc).
  • Assists with special projects and other duties as assigned.
