The Illinois State Water Survey (ISWS) is seeking to hire an Office Administrator. The Office Administrator initiates and coordinates efficient and effective administrative, office, operational, and technical support for the Survey Director, Section Leadership and staff. The Office Administrator deals with a broad group of external and internal personnel at all levels of the organization and has extensive knowledge of the organization, programs, policies, and processes of the Survey. ISWS is part of the Prairie Research Institute at the University of Illinois at Urbana-Champaign, which is centrally located between Chicago, St. Louis, and Indianapolis. Our research and service programs provide citizens, industries, and government agencies at all levels with timely, science-based information and analyses necessary to manage our water resources wisely for economic development and a sustainable environment.

  • Initiate and coordinate administrative support for the Survey Director and Section Leadership.
  • Provide operational and technical support for staff.
  • Interact with a broad group of external and internal personnel at all levels of the organization.
  • Maintain extensive knowledge of the organization, programs, policies, and processes of the Survey.
  • High school diploma or equivalent.
  • Four (4) years of work experience comparable to the third level of this series, or two (2) years of work experience comparable to the fourth level of this series.
  • Working knowledge of office administrative and routine office practices and procedures.
  • Knowledge of administrative processes and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of computers and computer systems (including hardware and software) to enter data or process information.
  • Demonstrated proficiency in Microsoft Office/365.
  • Effective communication, personal relations, collaboration, organizational, teamwork, and leadership skills.
  • Ability to perform effectively in a diverse and fast-paced work environment with multiple and changing priorities under minimal supervision.
  • Attention to detail, sound judgment, and strong conflict resolution skills.
  • Possession of an Illinois driver's license in good standing.
