About The Position

The Office Administrator position is responsible for facilitating the collection and processing of data within the office. This role involves tracking employee documentation, providing administrative support to various operations departments, and ensuring effective communication within the team. The Office Administrator will report directly to the Operations Manager or Assistant Operations Manager and will play a key role in maintaining office efficiency.

Requirements

  • Excellent written and verbal communication skills
  • Ability to acquire information and answer questions for managers and clients promptly
  • Self-driven and capable of working individually
  • Proficient in managing spreadsheets
  • Proficient in Microsoft Excel, Word, and using online resources
  • Previous office assistance or scheduling experience preferred in a fast-paced environment
  • Ability to analyze information and make sound decisions
  • Must be able to pass a background check

Responsibilities

  • Process time sheets for employees to send to corporate
  • Track employee vacations, personal days, call offs, and no shows
  • Provide administrative assistance to other operations departments as needed
  • Answer phone calls in a professional manner
  • Assist employees in the collection of benefit forms (insurance, 401k)
  • Recruit and post job openings, interview applicants, and process new hire paperwork
  • Filter random drug screening results to Human Resources
  • Complete termination/resignation paperwork (separation notices)
  • Assist with completion of Personnel Action Forms
  • Assist with Workers' Compensation Incident Reports and OSHA Reporting
  • Assist corporate office with correcting invoicing and payroll issues
  • Perform all other job duties as assigned
