What We're Looking For We are seeking a highly organized and proactive Office Administrator to support our CEO and leadership team and ensure smooth day-to-day operations of our office. This role combines executive assistant responsibilities—such as managing the CEO’s schedule and communications—with general office administration duties. The ideal candidate is detail-oriented, professional, and thrives in a dynamic environment. The role in 100% on site at our Seattle HQ in Eastlake.

Requirements

  • Proven experience in office administration or executive support
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Professional demeanor and customer service mindset
  • Proficiency with office software (e.g., Microsoft Office)
  • Ability to multitask and prioritize in a fast-paced environment

Responsibilities

  • Manage the CEO’s calendar, travel, and communications
  • Coordinate calendars and scheduling for leadership team
  • Maintain a clean, organized, and professional office environment
  • Greet visitors and serve as the main point of contact for office inquiries
  • Order supplies and oversee office equipment maintenance
  • Coordinate document signing, vendor follow-ups, and leadership team scheduling
  • Handle clerical tasks including data entry, correspondence, and expense reporting
  • Maintain contact lists and manage incoming mail and calls
  • Support client and investor reporting and special projects
  • Ensure confidentiality and improve administrative systems as needed
