About The Position

As an Office Support Specialist at Whiteline Express, Ltd., you will play a crucial role in ensuring smooth operational workflows by managing various administrative tasks. This newly-created position offers the opportunity to collaborate with multiple departments and contribute to process improvements within the company.

Requirements

  • A High School Diploma or equivalent.
  • Intermediate-level Microsoft Excel skills, including ability to create, format and edit spreadsheets, as well as input simple formulas.
  • Previous clerical / administrative support experience in a business setting is strongly preferred.
  • Technology savvy, with the ability to quickly learn new software applications.
  • Exceptional detail-orientation and organizational skills.
  • Sustained energy and focused attention to be highly productive in fast-paced business operation.
  • Working knowledge of accounting, invoicing processes is preferred.

Responsibilities

  • Manage driver documents submittals and maintain records.
  • Audit submittals to assure information is complete and accurate.
  • Check scanned documents for clarity and image quality.
  • Monitor for recurring non-adherence and other areas for improvement.
  • Administer the driver quarterly perfect scanning bonus payment process.
  • Distribute weekly reports to managers.
  • Support the Maintenance Department with purchase orders, vendor repair orders, and invoices to assure accurate and timely processing.
  • Utilize the Asset Maintenance System (AMS) to aggregate and report discrepancies.
  • Collaborate with multiple internal departments, including Accounting, Maintenance, and Human Resources, to identify and implement process improvements.
  • Provide administrative support to other areas of Whiteline operations.
