About The Position

The Space and Occupancy Manager is responsible for the execution and delivery of space planning, occupancy management, and workplace data integrity across the portfolio. This role is focused on operational excellence, ensuring accurate space data, efficient seat utilization, and seamless coordination of moves, adds, and changes (MAC). This position partners closely with client stakeholders, while the primary client relationship ownership remains outside of this role. The focus is on consistent execution, data-driven decision making, and delivery against established space and occupancy strategies. The Space and Occupancy Manager will lead a small team and have 2 direct reports supporting day-to-day operations.

Requirements

• 5+ years of experience in space planning, occupancy management, or corporate real estate
• Experience with space management tools (e.g., Serraview, Archibus, or similar)
• Strong understanding of workplace strategies and occupancy planning principles
• High attention to detail with strong data management capabilities
• Ability to manage multiple priorities in a fast-paced environment

Responsibilities

• Execute space planning activities including block planning, seat assignments, and neighborhood alignment
• Maintain and manage occupancy plans in alignment with workplace standards and business requirements
• Support short- and long-term space optimization efforts across the portfolio
• Ensure adherence to space policies including assigned vs. unassigned seating guidelines
• Oversee and coordinate moves, adds, and changes across sites
• Ensure moves are executed efficiently with minimal disruption to business operations
• Partner with Facilities, IT, and Project Management teams to ensure seamless delivery of move activities
• Track and report on move activity, trends, and volume
• Maintain accurate space and occupancy data within systems such as Serraview or equivalent platforms
• Conduct regular audits to validate occupancy, seat assignments, and space utilization
• Ensure data alignment across systems including badging, HR data, and ticketing platforms
• Support reporting needs through accurate data management and governance
• Produce regular reporting on occupancy, utilization, vacancy, and capacity metrics
• Identify trends and provide insights to support portfolio decision-making
• Support scenario planning and test fits through data-driven analysis
• Contribute to KPI tracking and performance reporting
• Establish and maintain standardized processes for space and occupancy management
• Drive consistency across sites and regions where applicable
• Identify opportunities to improve efficiency, automation, and service delivery
• Ensure compliance with internal procedures and client standards
• Directly manage and develop 2 team members supporting space and occupancy operations
• Provide day-to-day guidance, prioritization, and performance management
• Foster a high-performing, detail-oriented team focused on execution and accountability
