OC Patient Access Scheduling Coordinator (Full Time / Days)

About The Position

Serves as the coordinator of all medical care and test referrals for site. The coordinator is charged with the timely and appropriate scheduling of all patient referrals to specialty, hospital and ancillary providers as requested by OMC’s medical providers. Responsible for coordinating appointments, ensuring the patient’s medical and demographic information is received by the specialty/outside provider, ensuring that the patient is notified of the appointment and any special testing requirements, and tracking patient compliance with the referral appointment. Contacts specialty, hospital or ancillary provider to schedule and coordinate patient appointment for outgoing referrals. Ensures that the specialist is participating with the patient’s insurance plan and that the necessary preauthorization paperwork is completed (if required). Faxes and/or mails the appropriate information, patient demographic data, laboratory results, x-ray results, clinical notes, etc. to specialty, hospital or ancillary provider. Communicates to the patient the importance of keeping the appointment and any special requirements for testing (if required). This includes follow up with non compliance. Serves as a liaison and follows up with OMC provider, Primary Care Physician (PCP), specialist and patient as needed to ensure that results are communicated and continuity of care is maintained. Exhibits excellent customer service skills in performance of all duties, including working with internal customers. Maintains OMC’s referral provider database with specialty provider name, address, phone number, fax number, participating insurance companies, etc. Effectively respond to all patient feedback and customer service issues, maintain written log and participate in related problem solving. Ensure high degree of patient satisfaction with overall delivery of service. Ensure that medical exams and related appointments are efficiently processed, scheduled and verified.

Requirements

  • High School Diploma or GED required.
  • Requires minimum of one year working experience in an outpatient physician clinic.
  • Strong analytical and computer skills required.
  • Interpersonal skills necessary to work with physicians, patients, and staff.
  • Ability to prioritize and coordinate multiple tasks.

Nice To Haves

  • AA or BA preferred.
  • If applicable, must maintain licensure/certification as appropriate to profession (i.e. MA certification, CPR, etc.).
  • Experience working with the referral/authorization process preferred.
  • Knowledge of electronic medical records preferred.
  • Knowledge of medical terminology preferred
  • Knowledge of managed care preauthorization procedures preferred.
  • General insurance knowledge preferred
