About The Position

Performs administrative level work for the Nutrition, Wellness and Transportation Department. Does related work as required. Work requires considerable knowledge of office administration and procedures, as well as meeting deadlines effectively.

Requirements

  • Knowledge of the practices and techniques of providing food service and human service support activities.
  • Knowledge of general office practices including phone techniques, filing and computer data entry; specialized knowledge in Microsoft 365 and accounts payable.
  • Ability to establish and maintain effective working relationships with a team of staff, volunteers, clients and vendors.
  • Ability to communicate effectively and calmly, verbally and in writing; writing skills must be sufficient for accurate, adequate and legible documentation.
  • Ability to plan and organize work.
  • 3 years of Accounts Payable experience.
  • Any combination of education and experience equivalent to graduation from a two-year accredited college.
  • Training in computer data entry and database management, as well as Microsoft 365.

Nice To Haves

  • Two years related work experience preferred.

Responsibilities

  • Assists the Nutrition, Wellness and Transportation Department with department operations and administrative procedures.
  • Oversees the maintenance of filing systems and/or office procedures, maintains and monitors, files, records and monthly reports.
  • Maintains PeerPlace database for the Friendship Cafe participants, including meals, nutrition education, volunteers and transportation rosters.
  • Coordinates the food delivery system to the meals sites to include ordering, delivery, problem resolution, meal count record keeping, and liaison between staff and vendor.
  • Coordinates transportation requests and participant site attendance; responds to services information requests.
  • Participates in Nutrition Department and Cafe Specialists meetings; records and distributes meeting minutes.
  • Procures, prepares and distributes paper products and cafe supplies on a monthly basis.
  • Processes monthly invoices for payment.
  • Actively participates in staff professional development programs.
  • Attends meetings and training sessions to enhance knowledge and skills.
  • Participates in advocacy efforts to support and address the diverse needs of the communities we serve.
  • Supports opportunities for community volunteers to engage with relevant aspects of the Nutrition, Wellness and Transportation Department, with support from Volunteer Services staff.
  • Performs other duties as assigned.
