Position Summary The Unit Secretary performs clerical, communication and receptionist duties on a specific nursing unit. Support Culture of Excellence through active role with assigned neighborhood initiatives.

Requirements

  • Education: High school diploma.
  • Skills: Requires good interpersonal skills.
  • Knowledge of business procedures, typing filing, simple computations and basic computer skills.

Responsibilities

  • Responsible to Medical Records Coordinator for all medical records functions.
  • Checks medical records to assure proper chart order.
  • Acts as receptionist; answers phone and directs visitors and conveys messages.
  • Thins hard copy medical record information on a regular basis.
  • Scans Member/Patient information into medical record.
  • Scans specific documents into Health MedX per facility chart arrangement.
  • Answers call lights at nurses station and seeks appropriate staff to assist member.
  • Keeps desk areas, bulletin boards, and paper supplies in order and well supplied.
  • Coordinates out of building appointments.
  • Arranges chair mobile transportation for medical appointments.
  • Confirms transportation for medical appointments.
  • Prepares control drug lists, compiles statistics, prepares daily and monthly reports.
  • Distributes lab sheets on a rotation schedule.
  • Prepares weekly lists for medical visits.
  • May deliver mail within the unit.
  • Responsible to obtain prior authorization for services from HMO’s.
  • Performs other duties as assigned by Nursing Administration or by Administration from time-to-time.
  • Responsible for ordering neighborhood medical supplies per schedule.
  • Responsible for ordering routine office supplies.
  • Dependable, report to work on-time for every schedule shift (ready to work at beginning - start of shift) and work full schedule shifts unless physically unable or pre-approved Paid Time Off (PTO) which includes personal and vacation.
  • Willing and able to work overtime and weekends as required by the position and/or approved by management.
  • Have reliable transportation to and from work.
  • Must be clean and neat in appearance and have a “friendly” service-oriented demeanor and supports Culture of Excellence initiatives by interactions with co-workers and/or Members.
  • Abide by work-related / job procedures and organization policies; (refer to the Employee Handbook).
