Requirements

  • Associates degree and two years of progressive experience in administrative support, preferably using Workforce Timekeeping and scheduling applications.
  • Administrative assistant/secretarial or Health Unit Coordinator with a minimum of five years progressive experience in administrative support.
  • Significant prior experience with spreadsheet and word processing software.
  • Effective verbal and written communication skills.
  • Ability to deal with continuous multiple and complex interpersonal interactions.
  • Demonstrated problem-solving and organizational skills.
  • Ability to work independently and set priorities.
  • Ability to collect, organize, and synthesize detailed information from a variety of sources.

Nice To Haves

  • Experience with UKG scheduling/timekeeping & Lean Taas predictive staffing preferred.

Responsibilities

  • Develop and publish complex schedules for departmental personnel.
  • Consult with Nursing leadership regarding workload analysis, staff plans and optimal schedule builds.
  • Develop and maintain position control documents, staff bases and posted employee schedules.
  • Provide direction regarding scheduling procedural guidelines.
  • Audit employee timekeeping records, pay rules and FTEs.
  • Protect, manage and report data contained within assigned scheduling applications.
  • Develop and implement standard operating procedures for managing and auditing security.
  • Elicit unit requirements for system parameter set-up.
  • Build and maintain system parameters in scheduling software applications.
  • Perform routine application maintenance, process data updates and provide technical support.
  • Develop Knowledge Base for supported scheduling applications.
  • Resolve ServiceNow tickets within a timely manner.
  • Develop and implement scripts for application quality assurance testing.
  • Write and execute database queries using report writing tools.
  • Provide consultation with unit budgets and workload analysis for scheduling solutions.
