About The Position

The Nursing Administrative Coordinator plays a key role in supporting the nursing department and ensuring smooth collaboration with home health and staffing agencies. This position is responsible for managing contracts, compliance documentation, and credentialing, while maintaining accurate records within internal systems. The role oversees agency communications, reviews invoices for accuracy, and ensures the timely receipt of nursing notes and visit confirmations. In addition, the coordinator assists with nurse onboarding, supports recruitment and agency enrollment, and helps negotiate competitive service rates. Acting as the central liaison between agency partners, the nursing team, and internal departments, this position provides critical administrative, financial, and operational support to maintain compliance, streamline workflows, and uphold the highest standards of patient care.

  • Minimum of 3 years of hands-on experience in medical office support.
  • Proficiency in Google Suite.

Responsibilities

  • Prepare and manage nursing contracts and agreements with home health and staffing agencies.
  • Collect, review, and maintain required agency documentation, including licenses, insurance, and compliance records.
  • Maintain the Ancillary Database for all AmeriPharma nurses, home health, and staffing agencies, including CPR+ and Clinician Visit Log updates.
  • Confirm nursing visits in the Clinician Visit Log and create delivery tickets for each confirmed visit.
  • Serve as the primary point of contact for nursing agencies to resolve invoice, billing, or service-related issues.
  • Support rate negotiations and assist with identifying and onboarding new nursing agencies.
  • Process invoices, nursing payroll, vendor payments, and expense tracking in the absence of Accounts Coordinators to ensure continuity.
  • Assist with onboarding AmeriPharma nurses, including system access, documentation, and training distribution.
  • Collaborate with nursing leadership, staffing, and accounting teams to support daily operations.
  • Monitor and respond to emails and requests in a timely and organized manner.
  • Prepare reports and provide administrative support to assist with operational tracking and decision-making.
  • Perform additional duties and special projects as assigned to support departmental efficiency.
  • Additional duties and responsibilities in different areas of the department on an as-need basis or determined by management.
