About The Position

GRF is seeking a dedicated, experienced, and highly organized Administrator to support our non-profit department in managing the day-to-day operations and ensuring the success and continued growth of our practice. You will play a crucial role in enabling our management team to manage clients, deadlines, and deliverables. You will be responsible for providing administrative and practice management support to ensure the department’s success and operational efficiency.

Requirements

  • 4-year degree in business or equivalent preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams, Forms).
  • High degree of professionalism and confidentiality.
  • Exceptional written, oral, and interpersonal communication skills.
  • Excellent organizational and time-management skills.
  • Entrepreneurial attitude: self-motivated, self-directed.
  • Ability to adapt to a fast-paced environment and handle multiple tasks concurrently.
  • Open minded; desire to learn.
  • Quick thinker; creative problem solver.
  • Willingness and ability to travel as needed for on-site training and conferences.
  • Detail oriented, strong analytical, numerical, planning and reasoning abilities.
  • Ability to work independently.

Nice To Haves

  • Experience an executive assistant or similar role, preferably in the technology or accounting/finance industry preferred.
  • Prior work in a tax department or collating department at an accounting firm is a positive.

Responsibilities

  • Organize and maintain records, documents, and reports.
  • Set up client accounts from point of submission by staff via the current submission portal for tracking in various databases.
  • Verifies and enters details of contract fees, engagement information and other transactions in Practice Management.
  • Assist in preparing client-facing engagement documentation, including but not limited to engagement letters.
  • Track engagement letters in coordination with firm management.
  • Sets up the projects and related job information for staff to properly post time.
  • Assist with job rollovers.
  • Catalogs and files work in system directories for access by staff.
  • Assist in filing tax extensions and maintaining due dates for tax returns.
  • Assist in putting together information request for clients and following up in a timely manner.
  • Proofreads and corrects work produced for grammar, punctuation, spelling, and order of assembly to produce error-free signature-ready work.
  • Assists in special projects as assigned, such as file purging, mailings, and other related tasks.
  • Performs such other duties as may be assigned.
