Responsibilities

  • Supervises, educates, directs staff, and coordinates activities and responsibilities of direct reports and monitors performance daily assuring that organizational policy and procedures are followed.
  • Reliable and punctual attendance is essential; expected to be at her/his job as scheduled, each scheduled day.
  • Maintain knowledge of programs such as Patient Portal, EMR, QHN, Gmail and associated programs, etc.
  • Demonstrate fiscal responsibility.
  • Comply with Competency Audits and Trainings, and chart audits as directed by the Practice Manager.
  • Assist the Practice Manager, as requested, in the implementation of policies and procedures that are consistent with those of Family Health West, to ensure efficient and safe operation of the practice’s outpatient services.
  • Keep current on compliance and risk management to include identifying and understanding all practice risks and implementing strategies to minimize those risks and mitigating any adverse events.
  • Maintain strong organizational structure, workflow, and operating procedures for the medical practice.
  • Have knowledge of medical practice principles, practices and procedures.
  • Provide support of projects and demonstrate strong communication skills both oral and written.
  • Attends meetings for the benefit of practice operations or personal management development and growth. Including quality improvement goals and metrics. Communicate information to staff as appropriate.
  • Promote existing and new programs and/or policies of Family Health West and the outpatient clinics both internally and externally, exhibiting professional and respectful behavior to others at all times.
  • Partner with Practice Manager to recruit, supervise, and direct staff to ensure the clinic operates in an efficient manner. Ensuring high quality customer service and positive patient interactions.
  • Conduct routine non-clinical staff meetings. Provide staff education and development within the scope of practice. Provide/coordinate EMR updates and education.
  • Accomplishes the cross training of staff to provide coverage at all times non-clinical functions. Provide coverage and provide duties of staff for absences when necessary to maintain practice operations.
  • Create a sense of teamwork and culture of safety.
  • Evaluate performance and productivity of staff on a timely and regular basis throughout the year. Conduct annual evaluation of staff and provide coaching as necessary. Hold staff accountable to clinical competencies. Collaborate with Human Resources and Practice Manager regarding appropriate corrective actions.
  • Create and maintain staff schedules. Approve timesheets, time off requests, leaves of absence, earned time off. Monitor overtime and handle transfer requests.
  • Communicate the scheduling and patient process. Collect and document all patient demographics.
  • Ensure insurance eligibility verification and collection of appropriate copays. Ensure receipt and posting of all payments as appropriate. Alert Practice Manager of any insurance issues.
  • Provide efficiencies in scheduling and managing patients and scheduling of appointments, to include assembling patient forms for appointments
  • Ensure that scanning into patient charts is completed as assigned.
  • Ensure efficient processing of incoming and outgoing calls with friendly and polite customer service and that patient phone messages are documented in the Medical EHR as appropriate.
  • Monitor patient satisfaction and intervene when necessary to address service issues. Report related issues to Practice Manager in a written concise, timely, and factual manner. Take service recovery steps as needed.
  • Follow up on patient referrals, ensure timely processing.
  • Submit authorization for Worker’s Compensation patients.
  • Submit authorization of treatment/procedures to insurance companies, as needed and directed by Practice Manager.
  • Prepare and send all referrals/documentation to outside providers as needed.
  • Request documentation from outside providers and scan documentation into Medical EMR. Access records from QHN and Paper version as needed.
  • Other job related duties as assigned.
  • Answer phones as needed.
  • Greet patients and staff members in a positive professional manner at all times.
  • Ensure that work area is clean and free of clutter at all times.
  • Maintain patient/resident/employee privacy and confidentiality at all times.
  • Maintain a standard level of professionalism with patients, public and colleagues.
  • Respond to all inquiries professionally, preserving confidentiality.
  • Attend staff meetings and in-service education.
  • Practice effective interpersonal skills and work productively as a member of the team.
  • Assist with and/or perform routine duties that do not require a specific professional license. (i.e. fax insurance companies, medical records, etc.)
