About The Position

Position Summary: The Night Auditor is responsible for overseeing the front desk operations during overnight shifts. This role involves auditing the day’s transactions, ensuring all financial records are accurate, handling guest check-ins and check-outs, and addressing any guest concerns or requests. The Night Auditor ensures that the hotel runs smoothly during the night shift and prepares the property for the following day. Key Responsibilities: Night Audit and Financial Reconciliation: • Review and reconcile daily transactions, including guest charges, payments, and adjustments. • Ensure that all charges are posted correctly to guest accounts, including room charges, taxes, and additional services. • Verify and balance the cash drawer and prepare daily financial reports, including revenue and occupancy statistics. • Process and complete the night audit in the property management system (PMS), ensuring accuracy and proper documentation. • Identify and correct any discrepancies in guest accounts or financial records. • Ensure all transactions are properly closed out at the end of the shift, maintaining accuracy and compliance with hotel policies. Guest Check-in and Check-out: • Greet guests arriving during the night shift, providing a warm and professional check-in experience. • Handle late check-ins and check-outs, ensuring guest information is entered correctly into the PMS. • Provide guests with information regarding hotel amenities, services, and emergency procedures. • Address any guest requests or concerns promptly and professionally during the night shift. • Ensure guests are provided with accurate folios (itemized statements) at check-out. Guest Service and Communication: • Respond to guest inquiries and concerns in a professional and friendly manner. • Handle phone calls and walk-in guests, providing information and assistance as needed. • Resolve any issues or complaints that arise during the night shift, ensuring guest satisfaction. • Communicate important information to other departments (e.g., housekeeping, maintenance) regarding guest needs or requests. Security and Safety: • Monitor the hotel’s security system to ensure the safety and security of guests and the property during overnight hours. • Perform regular walk-throughs of hotel facilities to check for any safety hazards or maintenance issues. • Follow emergency procedures in the event of a crisis, such as fire alarms, medical emergencies, or guest disturbances. • Ensure the front desk area is secure, and properly manage keys and guest information. Administrative and Reporting Duties: • Prepare and distribute reports for management, including revenue reports, guest check-in/check-out statistics, and any issues or incidents that occurred during the night shift. • Maintain accurate guest records and ensure that any special requests or comments are documented properly. • Review the hotel’s occupancy for the following day and assist with reservations, cancellations, and updates. • Prepare the hotel for the morning shift, ensuring that all areas are ready for the next day’s operations. Additional Duties: • Assist with light housekeeping duties, such as stocking the front desk or ensuring the lobby is clean and organized. • Support the night team with any other tasks as needed, such as assisting in guest services or handling administrative tasks. • Participate in the training and development of other night staff or front desk personnel, as needed

Requirements

  • High school diploma or equivalent (required).
  • Previous experience in a hotel front desk or guest services role (required).
  • Experience with cash handling, auditing, and report preparation.
  • Strong attention to detail, especially when reviewing financial records and guest accounts.
  • Excellent communication and customer service skills to handle guest interactions, especially during overnight hours.
  • Ability to work independently and handle multiple tasks efficiently.
  • Proficient in basic math and accounting procedures.
  • Ability to resolve issues and make decisions independently during overnight shifts.
  • Strong organizational skills and ability to prioritize tasks.
  • Ability to stand or sit for extended periods during the night shift.
  • Ability to lift and carry up to 25 pounds (e.g., supplies, guest luggage, etc.).
  • Ability to work overnight shifts, including weekends and holidays.

Nice To Haves

  • Associate’s or Bachelor’s degree in Hospitality, Business, or a related field (preferred).
  • Experience with property management systems (PMS) and basic financial reconciliation (preferred).
