About The Position

Join a practice at the forefront of cutting-edge cancer care and advanced treatments. This position involves scheduling new patient consult appointments, genetic consult appointments, and obtaining appropriate medical records efficiently. You will serve as a liaison between patients and medical staff, answering incoming calls and directing them as needed. The role may include responsibilities such as orientation and training of lower-level employees. You will support the New York Oncology Hematology Compliance Program, including the Code of Ethics and Business Standards.

Requirements

  • High school diploma or equivalent required.
  • Knowledge of medical terminology and work in an office setting is preferred.
  • Excellent communication skills, both written and verbal.

Responsibilities

  • Answer all incoming calls; assess callers’ needs and direct to appropriate personnel if needed.
  • Obtain and communicate messages in an accurate and timely manner.
  • Utilize a right fax to obtain new patient referrals and medical records for new patients.
  • Relabel faxes appropriately and address each in order based on priority.
  • Utilize and navigate MachForm for online new appointment requests from prospective patients and referring physicians.
  • Create new accounts and input all correct patient demographics, insurance information, PCP, and referring provider.
  • Schedule/cancel/reschedule new patients in the correct computer system according to physician and/or office guidelines.
  • Update the new patient referral tracker.
  • Understand providers' schedules/templates and schedule appropriately in designated consult slots.
  • Obtain all necessary medical records for new patients and ensure documents are saved and attached correctly.
  • Reach out to providers via chart message/email/phone to discuss records and diagnoses.
  • Mail all appropriate new patient paperwork, welcome letter, and site directions to patients.
  • Initiate conversations between patients and Patient Benefit Representatives for financial counseling/insurance questions.
  • Demonstrate an understanding of patient confidentiality.
  • Follow policies and procedures to contribute to the efficiency of the role as a New Patient Coordinator.
  • Provide guidance and assistance with the direction of daily work to junior level staff.
  • Communicate to patients regarding surgeries, tests, and images.
