About The Position

The New Patient Intake Coordinator Lead is responsible for supporting New Patient Intake Coordinators along with the nursing supervisor(s)/manager. Assists as the first resource for New Patient Intake Coordinators to work thru daily operations barriers and needs. This role partners with the clinical teams to ensure the intake process is coordinated efficiently to improve timeliness to care for new patients. The New Patient Intake Coordinator Lead is accountable for being a resource to staff to support the registration, initial insurance screening, scheduling, and medical information collection to enable a meaningful initial consultation for new patients. This work role requires thorough knowledge of all New Patient Intake Coordinator job functions and serves as a resource to train other employees in collaboration with the supervisor(s)/manager and will work to provide coverage across the department as staffing needs indicate. Assists supervisor(s)/manager with assigned projects related to improving workflow and efficiencies within the department.

Requirements

  • High School Graduate
  • 3 or more years Medical Record collection and/or scheduling experience
  • 1.5 Years of experience as a UKH New Patient Intake Coordinator
  • English - Knowledge
  • Exceptional computer skills including advanced keyboarding skills, proficient in computer programs such as Outlook, Word, and Excel
  • Experience utilizing electronic medical record, Epic preferred

Responsibilities

  • Performs responsibilities of the New Patient Intake Coordinator.
  • Partners with Financial Counselors, Registration and Pre-certification departments when New Patient Intake Coordinators need assistance escalating barriers.
  • Partners with staff by helping addresses barriers to collecting, following up on, and confirming receipt of all medical information identified that is necessary for successful, timely visit, including outside medical records, pathology slides and radiology films
  • Works as a go-between w/ supervisor(s)/manager and staff to resolve workflow or throughput issues of the department
  • Monitors Work Queue’s and assigns or follows up with team members as needed in collaboration w/ supervisor(s)/manager to ensure patient thruput
  • Serves as resource and provides training to staff in collaboration with supervisor(s)/manager.
  • Evaluates existing workflows and collaborates with supervisor(s)/manager on implementing improvements and standardization of workflows.
  • Conducts staff training or education specific to department workflows
  • Provides staffing coverage for New Patient Intake Coordinators as needed
  • Complete standard work observations at the direction of clinic leadership
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
  • Other duties may be assigned as required.
