About The Position

Provides administrative support for the Kīpuka Kona ʻĀina team and office operations, manages the Keahuolū camping program, and serves as the primary representative for the front reception desk. The efforts of the Natural Assets & Operations Assistant will contribute to the efforts of restoring, protecting, and preserving the health of Keahuolū and Honohina, adding value to the Trust’s real estate properties.

Requirements

  • High school graduate or GED equivalent and five (5) years or more of related work experience or equivalent combination of education and experience.
  • Must be service oriented.
  • Proficient with Excel spreadsheets, Word, and Powerpoint.
  • Experience in operating office equipment including computers, printers/copy machines, telephones, conference video/speakers, projectors, and other office equipment.
  • Strong administrative, organizational, verbal, and written skills.
  • Ability to support team members in all aspects of planning, coordinating, and assisting.
  • Willing to take on various office duties and process paperwork when requested.
  • Takes initiative and acts on tasks without being asked.
  • Ability to provide great customer service with aloha.
  • Able to work independently and in a group setting.
  • Ability to communicate effectively, both verbally and in writing.
  • Accountable, responsible, detail oriented and organized.
  • Ability to lift 25lbs pounds.
  • Requires frequent sitting, bending, standing.

Responsibilities

  • Provides general administrative support for Kīpuka Kona ʻĀina team.
  • Manages the online camping registration and reservations system, checks-in campers, provides reports to security, inputs campers’ lawaiʻa reports into NRDS database, and coordinates with maintenance staff for equipment needs
  • Answers phones, screens incoming calls and correspondence, and welcomes and directs guests.
  • Responsible for fiscal processing under the supervision of Natural Assets & Operations Director. Assists with preparation and monitoring of budget.
  • Plans and coordinates staff travel arrangements, events, conferences, trainings, etc.
  • Approves and issues access keys, gate combos, and gate remotes.
  • Approves vehicle, UTV, facility, and camping requests.
  • Organizes and maintains filing system that may include general administrative, contracts, agreements, reports, data collection, etc.
  • Organizes and maintains inventory of all office, kitchen, and bath supplies and equipment.
  • Works closely with Kīpuka Kona Programs team, especially the Office Manager as it relates to operations.
  • Works with maintenance, natural resources, and security staff when related department issues arise.
  • Provides feedback and input in regards to all aspects of the Kīpuka Kona ʻĀina team responsibilities. Prepares field emails, phone calls, and other means of communication when necessary and provides response support for the Natural Assets & Operations Director. Provides support for the real-estate development and property management team when needed. Assists in event set-up/break-down, program support, and other program needs.
  • Contributes to the Trust’s success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results.
