Requirements

  • Bachelor or Associate Degree in Related Field
  • A minimum of 3 years of purchasing/procurement, management, or customer service experience
  • Excellent communication and negotiation skills
  • Strong accounting understanding
  • Hands-on experience with Microsoft Excel and Outlook
  • Good time management, organization and prioritization skills
  • Strong attention to detail
  • Possess good follow through skills
  • Ability to work in a fast-paced environment
  • Adaptable to change

Responsibilities

  • Serve as the first point of contact for the purchasing department
  • Day to day responses to incoming emails and phone calls, including but not limited to special order requests, order status requests, general questions, manage and work open PO reports
  • Provide administrative assistance as needed for purchasing manager, director, and senior project manager
  • Manage medical waste, postage, linens, coffee/ water services, and shredding services for the sites
  • Provide open invoice reconciliations as needed
  • Manage inquiries brought to purchasing and engage other members of the department as needed to see projects through to completion
  • Review and research open items in purchasing system such as:
  • Invoice Discrepancies (receiving and financial)
  • Order request approvals
  • Inbound invoice errors and export issues
  • PO reconciliation - ensuring that all open PO's and backorders are maintained
  • Reconciliation of credits
  • Other basic system maintenance tasks
  • Create documentation and send communications to operations as needed
  • Applicants must be capable of managing and prioritizing their work assignments, and capable of working from home and staying on task without constant supervision
  • Schedule will be normal business hours, 8:00AM to 5:00PM with a one hour lunch, with limited flexibility
