About The Position

Great Lakes Inter-Tribal Council is a non-profit organization formed by the Native American Tribes of Wisconsin. We serve all WI tribes by providing administration of grant-funded programs either directly or with sub grants. Programs serve a range of functions from Children to Elders. Our Mission is: To Enhance the quality of life for all Native People. N CREW Program Assistant Culturally grounded, trauma-informed solutions are essential for reducing substance use and mental health conditions related to long-standing structural inequalities and social determinants of health. To address this growing need and in alignment with priorities (Drug Crisis, Mental/Behavioral Health, and Healthcare) identified in their strategic plan, Great Lakes Inter-Tribal Council, Inc. (GLITC) is working on constructing an Adolescent Recovery and Wellness Center (ARWC) in Shawano County, northeast Wisconsin. The ARWC is a 36-bed residential facility that will provide culturally relevant services and responsive residential substance abuse treatment for Native American youth, ages 13-17, who are suffering from substance use disorder (SUD) and any co-occurring mental health conditions. To support this initiative, GLITC is developing a research program, which will inform the creation of a person-centered, culturally specific approach to healing and the integration of Tribal wellness practices within healthcare services. Through the National Institute of Health’s Native Collective Research Effort to Enhance Wellness (N CREW) Program, GLITC’s program represents an initial step in fostering the expansion of research capacity for Tribes and Tribal organizations in the region. Position Summary: Provide administrative and fiscal assistance to the NCREW Program Director. Assist the NCREW Program Director, NCREW Project Coordinator, ARWC staff, GLITC staff, and community partners staff by managing and supporting program budgetary and administrative activities. Develop, implement, and maintain budget, financial procedures, and financial files. This individual is expected to be the coordinator of all clerical/administrative/fiscal duties for this team. Daily attendance is an essential function of this position.

Requirements

  • Acceptable experience substitution includes five or more years of increasingly responsible experience in account maintenance or financial recordkeeping.
  • Associate degree with a business or financial focus with at least three years of prior office management experience.
  • Individual should possess excellent verbal and written communication skills; professional demeanor and appearance; problem solving skills; ability to manage time effectively; self-motivation skills; work effectively under pressure and be flexible; ability to build positive work relationships with internal and external customers; ability to interact professionally with a wide variety of people; ability to interpret complex written material; basic math skills; be an independent worker; and maintaining effective working relationships.
  • Must possess a valid driver’s license and/or reliable transportation with adequate insurance and ability to travel.

Nice To Haves

  • Bachelor’s degree with financial focus.
  • As program funds permit, achieves and maintains a certification of federal grants management.
  • Experience with a Native American Tribal organization and/or not-for-profit agency.

Responsibilities

  • Draft budgets, budget modifications and prepare federal forms for grant submission and continuation applications. Monitor monthly budget reports.
  • Assure that the accounting reporting requirements to grant, and contract sources, are met.
  • Perform general administrative and reporting functions. Manage all program budgets, assuring that expenses are appropriately distributed and/or covered. Process vouchers for payment.
  • Review and voucher department invoices and staff travel reimbursements before sending them to accounting for processing. Discuss year-to-date expense vs. budget reports for grants and contracts with the NCREW Program Director and staff.
  • Assist NCREW Program Director in meeting standards and reporting requirements imposed by agencies and coordinate with staff to assure that administrative activities comply.
  • Coordinate all clerical and administrative duties within the department.
  • Manage completion of travel forms, purchase orders and disbursement processes.
  • Assist with routine correspondence, updating program mailing lists, organizing, and maintaining file system, assembling reports, publications, and training materials.
  • Arrange conferences and meetings including scheduling, coordinating, and confirming meeting locations, accommodations, travel arrangements, notification of staff and other participants.
  • Assist with travel arrangements for department staff including travel advances.
  • Facilitate planning of future space needs, with appropriate internal staff.
  • Assure coordination of office supplies, office equipment maintenance and IT equipment inventory.
  • Engage in networking activities to ensure awareness of services available.
  • Assure that all services are delivered in a culturally sensitive manner.
  • Participate on various committees outside and within the organization as deemed necessary and appropriate to the position and supervisor.
  • Attend all training sessions and meetings as scheduled.
  • Attend technical conferences and seminars to stay current on technological advances.
  • Perform other duties as assigned and necessary to fulfill the responsibilities of this position.
