About The Position

Responsible for the receipt, review, custody, shipment to investors, and accuracy of system data related to collateral for all commercial lending facilities, in accordance with Mortgage Warehouse Lending (MWL) client facility agreements, documented procedures, and investor requirements as instructed by clients. Maintain security and integrity of client collateral by following established guidelines set by the department to minimize loss and consistently provide superior client service to internal and external clients.

Requirements

  • High School diploma or equivalent
  • One year of banking and/or client service experience
  • Strong analytical skills to identify and correct data input errors and identify documentation errors
  • Ability to communicate in a clear and concise manner with all levels of management, teammates, and clients
  • Ability to maintain composure and flexibility during high volumes while working under pressure
  • Ability to work effectively in both a team environment and individually
  • Ability to analyze root cause of errors, apply critical thinking to determine resolution and make independent decisions
  • Detail-oriented, able to meet short deadlines and work independently with minimal supervision
  • Excellent time management, organizational and multi-tasking skills
  • Demonstrated proficiency in basic computer applications, such as Microsoft Office software products

Responsibilities

  • Monitor MWL Collateral Control Group mailbox. Respond professionally and courteously to internal and external client emails and inquiries promptly, taking ownership of client issues ensuring satisfactory resolution or escalation to a Team Leader or Manager. Maintain Collateral Review Log for Operation Specialist notification.
  • Verify manifests to collateral packages received, ensure all documentation is present and accurate, review the data points on the required documentation to the information in the data tracking system, perform necessary field updates in the loan record, document exceptions as needed and record the receipt of required collateral. File collateral appropriately and perform periodic collateral inventory audits to ensure accurate reporting of collateral status. Research and handle collateral received that is not expected or in our data tracking system. Route the information correctly to ensure all incoming mail has been processed as needed. Label and file collateral correctly in vault.
  • Prepare and process shipping requests in data tacking system that is sent by clients. Communicate directly with clients pertaining to any shipping requests in a prompt, courteous and professional manner. Responsible for accurate delivery to approved end investor for repurchase of for commercial lines of credit. Retrieve collateral files from inventory, prepare outgoing shipping package with required documents, and release per client's instructions. Prepare client shipments and ensuring proper documentation is enclosed reducing risk and protecting the banks interests. Ensure proper verification is completed on all outgoing packages to eliminate errors.
  • Maintain accurate mail logs to track incoming and outgoing mail for time sensitive overnight packages containing funded collateral for commercial lines of credit. Ensure time sensitive packages are delivered appropriately and that courier deadlines are adhered to.
  • Suggest updates to internal procedures and Job Aids as needed and review when requested.
  • Assist other associates in the completion of their duties, as time permits.
  • Organize, label and map vault storage of funded collateral for large commercial lines of credit to ensure it accurately reflects what is mapped in our system. Ensure shipping room is organized and labeled for proficiency and inform team lead or manager as investor stamps are needed. Assist in keeping adequate supply of overnight carrier supplies.
  • Process document retention in accordance with the Corporate Records Retention Schedule and Truist data management standards for on-site and off-site storage which includes preparation of files for shipment to offsite storage and maintaining accurate lists of all retention files shipped. Monitor on-site retention for proper disposal and shredding ensuring on-site shredding is managed in accordance with MWL guidelines and in a timely manner.
  • Progressive responsibilities may include, but are not limited to, participating in quality control testing of new data system applications and/or upgrades and changes, provide backup as needed for MWL WAVS (Wire Account Verification System) support, MERS (Mortgage Electronic Registration System).
