About The Position

The Move in Coordinator supports the sales team by managing the administrative and logistical aspects of the move-in and transfer process. The position ensures a smooth, positive experience for new residents and their families by coordinating communication between departments, preparing documentation, and facilitating each step from contract to move-in day. Shift: Monday-Friday 9am-5pm

Requirements

  • Must be a minimum of 21 years of age.
  • HIgh school diploma or equivalent required; associates or bachelor's degree preferred.
  • Minimum of 1-2 years of administrative or sales support experience, preferably in senior living, hospitality, or healthcare.
  • Must have a positive Criminal Background Screening.
  • Must pass a physical having no signs or symptoms of a communicable disease including tuberculosis where required.
  • Freedom from tuberculosis must be documented on an annual basis where required.
  • The Community is a drug free workplace; associates are subject to adherence to the Company Drug Free Workplace policy.
  • Must have a means of transportation.
  • Must possess a valid driver’s license for the state where the vehicle is operated.
  • Must have an acceptable Department of Motor Vehicle (DMV) record.
  • Must be considered to be insurable by the Community’s automobile insurance carrier.

Responsibilities

  • Prepare and complete all required paperwork for new move-ins and transfers according to company policy and state regulations.
  • Coordinate with the care team to ensure timely assessments of all new residents.
  • Communicate move-in schedules and unit readiness with relevant departments to ensure apartments are prepared prior to arrival.
  • Conduct pre-move-in inspections and report any maintenance or readiness issues to the appropriate team members.
  • Deliver move-in gifts and personally greet residents and families on move-in day.
  • Maintain accurate documentation and distribute move-in paperwork to all necessary departments.
  • Facilitate new resident orientation in collaboration with department heads, ensuring a warm and thorough welcome.
  • Greet prospects, residents, families, and visitors in a professional, friendly, and enthusiastic manner.
  • Support the sales team by assisting with tours, presentations, and inquiry handling when needed.
  • Utilize professional telephone etiquette when speaking with prospects and families.
  • Attend and participate in community events as requested.
  • Assist with the preparation of move-in packets, sales materials, and reports as needed.
  • Maintain knowledge of current and upcoming availability to support occupancy goals.
  • Maintain confidentiality of all resident and company information.
  • Perform other related duties as assigned.
