We are seeking a Motor Vehicle Finance Clerk to support the financial accuracy and operational integrity of our Motor Vehicle offices. The Motor Vehicle Finance Clerk serves as a subject matter expert in motor vehicle financial transactions, auditing processes, and reconciliation activities. This role focuses on reviewing title work and financial transactions for accuracy, supporting training efforts, and ensuring the integrity of daily financial processes including cash, credit card, and bank transactions. This position has a strong back-office focus and requires a high level of attention to detail while performing financial reconciliation, auditing paperwork, and conducting quality assurance reviews of transactions and trainee work. The Motor Vehicle Finance Clerk identifies discrepancies, communicates issues clearly, and helps staff understand proper procedures to ensure transactions comply with motor vehicle regulations and county financial practices. While this role emphasizes financial oversight, auditing, and quality assurance, the Motor Vehicle Finance Clerk must also maintain the ability to perform front counter motor vehicle services as needed. This ensures the position stays current with operational procedures and can support counter operations during high-volume periods. The position also requires strong communication and mentoring skills, as the Finance Clerk often assists in training new staff, reinforcing best practices, and supporting continuous improvement across the Motor Vehicle team. Has experience with motor vehicle transactions, government financial processes, or similar regulatory environments. Is comfortable working with financial reconciliation, including cash, credit card, and bank transactions. Possesses strong Microsoft Excel skills, including the use of formulas and data review tools. Communicates clearly and constructively when identifying issues and enjoys helping others learn and improve processes. Maintains a flexible mindset and is willing to assist at the front counter when operational needs require it. Brings a positive, team-oriented approach and enjoys mentoring and supporting colleagues. SCHEDULE: This position requires regular on-site/in-office work and operates on a 4-day workweek (Monday-Thursday, 7am-5:30pm) in our Golden office. COMPENSATION: Hiring Range: $27.50-$29.50 Compensation will be determined based on education, experience and skills. Requirements

  • Minimum three years of experience in financial transaction processing, cash handling, accounting support, or governmental finance
  • High school diploma or GED required
  • Prior experience in a county motor vehicle office or with the DRIVES experience at county-level or Colorado Department of Revenue (CDOR) DRIVES experience motor vehicle system
  • Sworn in as Deputy of Clerk and Recorder's Office to discharge the duties conveyed by Colorado Statute after hire.
  • Must be able to swear in as a Deputy Clerk of the Clerk and Recorder’s Office to carry out duties authorized by Colorado statute after hire.
  • Criminal History and MVR Background Checks are required for every position.
  • Offer of employment is contingent upon successful completion of criminal history, motor vehicle report, education verification, and/or references.
  • A valid Colorado driver’s license is required for positions that drive on County Business in either a county or personal vehicle shall have a Colorado Driver’s license within 30-days of hire or beginning to serve as an intern or volunteer.

Nice To Haves

  • Accounts receivable experience and familiarity with general ledger coding.
  • Confident using DRIVES financial reports, reconciliation, reversals, refunds and similar functions for motor vehicle transactions.
  • Experience preparing financial reports and supporting internal or state audits.
  • Proficiency in Microsoft Excel, including formulas, tracking spreadsheets, and reconciliation reports.
  • Experience working with ERP systems or county financial systems used for financial processing and reporting.
  • Knowledge of Colorado Revised Statutes related to motor vehicle transactions.
  • Understanding of records retention requirements and documentation standards.
  • Strong attention to detail and accuracy when reviewing financial and legal documents.
  • Demonstrated integrity and accountability when handling public funds and sensitive financial information.
  • Strong customer service skills when assisting residents and internal staff.

  • Ability to work collaboratively in a team environment while maintaining a positive and adaptable approach to changing operational needs.

Responsibilities

  • Reviews and analyzes legal documents such as titles, registrations, and supporting paperwork submitted by the public, dealerships, financial institutions, and government agencies to ensure accuracy and compliance with applicable laws and regulations.
  • Verifies documentation for completeness and compliance with Colorado statutes, Department of Revenue requirements, and Jefferson County policies and procedures.
  • Determines required actions for motor vehicle transactions and processes them, accordingly, creating and maintaining legal records for motor vehicle titles and registrations.
  • Enters and maintains accurate transaction data in State of Colorado and Jefferson County systems in accordance with established policies and procedures.
  • Issues titles, license plates, tabs, Z-tabs for special mobile machinery, temporary permits, and Persons with Disabilities (PWD) placards in accordance with applicable statutes and customer needs.
  • Conducts audits and reconciliations of financial transactions including cash, credit card, and bank transactions to ensure financial accuracy and identify discrepancies.
  • Maintains a working knowledge of relevant laws, regulations, policies, standards, and procedures; implements updates resulting from new legislation or Department of Revenue guidance.
  • Participates as a point of contact for relevant state or county meetings and communicates procedural updates to staff as needed.
  • Supports administrative operations including cancellation letters, plate inventory management, and responding to customer inquiries through phone or chat.
  • Receives, logs, and distributes incoming documentation and mail from postal services, DHL, UPS, the Golden main office, and dealership drop-offs.
  • Assesses, calculates, and collects sales taxes, ownership taxes, title fees, registration fees, and filing fees in accordance with Colorado motor vehicle laws and regulations.
  • Processes daily financial transactions and disbursements from various programs under Colorado motor vehicle law in accordance with departmental accounting protocols.
  • Supports resident services and accounting functions including processing refund checks, collectables, late fees, and other motor vehicle-related financial matters.
  • Performs other duties as assigned.
