About The Position

LSF is seeking a talented Monitoring Coordinator who wants to make an impact in the lives of others. Purpose and Impact: The role of the Monitoring Coordinator is to assist with various types of internal and external compliance audits of subcontracted service providers, monitors internal processes and helps to ensure compliance with federal, state, and contract requirements. This position assists in the development and implementation of agency’s policies and procedures along with providing the necessary tools to ensure that compliance is maintained. This position will facilitate the planning, preparation, communication, execution of specific monitoring tools, and conduct entrance and exit meetings of any external compliance audits with subcontracted service providers.

Requirements

  • Bachelor’s degree from an accredited University in business related curriculum, accounting preferred.
  • One to three years of professional experience working in a field relevant to the responsibilities of the position.
  • Working knowledge of the Microsoft Office programs with proficiency in Microsoft Excel
  • Comprehension of mathematics and/or financial management concepts
  • Ability to meet critical deadlines on concurrently occurring projects
  • Aptitude for prioritizing responsibilities
  • Positive attitude with a focus on problem solving
  • Capability for change and adaptation to evolving policies and procedures
  • Creative thinking as it pertains to improvement on procedure and systemic development
  • Willingness to work both independently and collaboratively
  • Excellent communication skills with a knack for customer service, professionalism and diplomacy via all modes of communication; whether in person, by telephone or in writing to internal and external stakeholders
  • Basic understanding of general contract language and services in the mental health and substance abuse fields
  • Person must demonstrate sensitivity to our service population’s cultural and socioeconomic characteristics and needs
  • Travel will be required across twenty-three counties in Florida. Periods of travel will be less than four days per trip.
  • Valid driver’s license and insurance are required.

Responsibilities

  • Assists with the ongoing compliance with subcontracted network service providers through on-site and/or virtual monitoring visits, desk reviews and contract file audits including: performing pre-monitoring activities – drafting notification letters and agendas, pulling a sampling for the monitoring scope, etc.; and performing post-monitoring activities - drafting formal reports regarding the observations made therein, input findings on corrective action plans or technical assistance plans regarding noncompliance, etc.
  • Collaborates with Housing and Community Inclusion Providers (PATH, Clubhouse, Supported Employment, SOAR, etc.) to conduct monitoring of these contracts in accordance with the annual monitoring plan and make recommendations for changes to improve the systems regionally
  • Issues Corrective Action Plan or Technical Assistance Plans to network service providers as necessary
  • Assists with internal compliance and controls, including incidental requests and approvals
  • Assists with Policy and Procedure maintenance and updates
  • Works in collaboration with the Finance and Network Management departments to perform compliance activities and other administrative functions to ensure successful execution of contract processes
  • Ensures subcontracted network service provider compliance with pertinent federal and state rules, regulations and statutes in accordance with contracting principles, such as Chapter 65-E 14 “Community Substance Abuse and Mental Health Services Financial Rules”, FAC; Florida PATH Program Manual; and 2 CFR 200 (OMB Uniform Guidance on Grants and Agreements for Cost Principles, Audit and Administrative Requirements for Federal awards), educating subcontracted network service providers as necessary
  • Provides technical support to network service providers related to contract compliance as necessary
  • Collaborates with interdepartmental teams to foster improvement of systems/processes to better serve our internal and external customers/clients
  • Fulfills performance objectives set by the Executive and Management Teams
  • Establishes and maintains effective working relationships with internal staff, state and local officials, and network service provider management staff
  • Participates in statewide conferences, meetings, and training events as deemed necessary
  • Other tasks and duties as assigned.
