About The Position

The MIS Specialist at TRAC Associates plays a crucial role in supporting education and employment programs by ensuring accurate data entry and management. This position focuses on assisting individuals and families, particularly from marginalized communities, in their career pathways. The specialist will work under the supervision of the Program Supervisor, handling various data-related tasks while maintaining confidentiality and adhering to program guidelines.

Requirements

  • Proven experience as data entry clerk
  • Fast typing skills; Knowledge of touch-typing system is strongly preferred
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.)
  • Working knowledge of office equipment and computer hardware and peripheral devices
  • Basic understanding of databases
  • Good command of English both oral and written and customer service skills
  • Great attention to detail
  • High school degree or equivalent

Responsibilities

  • Receive and review WIOA and EcSA client enrollment paperwork and status forms
  • Maintain client confidentiality
  • Discuss identified document deficiencies or discrepancies with program supervisor
  • Enter client documentation into state MIS (ETO) following ESD and Workforce Snohomish guidelines
  • Scan and upload required documentation to MIS system
  • Ensure data entry is completed within required timeframes
  • Gain clear understanding of State of Washington MIS system and WIOA
  • Enter client documentation into TRAC database
  • Communicate regularly with program supervisor and staff
  • Clarify questions and discrepancies with program staff
  • Follow clear guidelines and ensure data accuracy
  • Maintain regular pace for data entry
  • Review regular MIS reports with program supervisor and make corrections when needed
  • Attend required trainings and meetings
  • Keep abreast of State of Washington MIS system and WIOA program changes
  • File physical and electronic documents
  • Collaborate with sub-contractor staff and MIS personnel
  • Collaborate and coordinate with TRAC King County MIS staff
  • Create spreadsheets to track important data
  • Search for and investigate information contained in files
  • Perform regular database backups to secure data
  • Input text-based and numerical information from source documents
  • Provide occasional administrative support
  • Sort and organize hard copies of paperwork after entering data electronically
  • Review data for deficiencies or errors
  • Type in data quickly and efficiently
  • Verify data by comparing it to source documents
  • Answer phones
  • Greet Clients
