Migrations Manager

About The Position

At Moxie, we empower ambitious aesthetic entrepreneurs to build profitable, independent practices—without burnout, overwhelm, or guesswork. In just a few years, we’ve grown from an idea to a global, remote-first team of more than 140 people, supporting hundreds of practices nationwide. Our purpose is simple: to unlock sustainable success for aesthetic entrepreneurs, at every stage of their journey. Role Overview We’re looking for a Migration Specialist to own and orchestrate client data and Electronic Medical Records (EMR) migrations from kickoff through launch. When a nurse or medical provider decides to partner with Moxie, they’re often coming from an existing EMR system or another operational setup. Your role is to lead the transition of their patient data, records, and workflows into Moxie — ensuring nothing gets lost, timelines stay intact, and the provider can begin seeing patients seamlessly on our platform. You’ll be the quarterback of one of the most critical moments in the client journey: the shift from “signing with Moxie” to “successfully operating on Moxie.” You’ll coordinate timelines, manage internal teams, guide the provider through the process, and ensure their launch happens with confidence, accuracy, and clarity. This role is based in the U.S. and requires travel approximately twice per month to support key clients or strategic initiatives.

Requirements

  • Demonstrates end-to-end ownership. You’ve led complex, multi-step projects from kickoff through go-live and felt personally accountable for outcomes — not just tasks. You’re comfortable owning timelines, managing ambiguity, and ensuring nothing falls through the cracks.
  • Brings structure to complexity. You know how to build clear timelines, track dependencies, and create systems that reduce errors and confusion. You’ve improved processes before — not just operated within them — and think in terms of scalability and repeatability.
  • Communicates confidently with clients. You can explain complex or technical topics clearly, set expectations upfront, and handle difficult conversations without losing trust. You prioritize proactive communication over reactive updates.
  • Collaborates effectively without formal authority. You’ve coordinated Product, Engineering, Operations, or Customer teams to hit deadlines — even when you didn’t directly manage them. You know how to remove blockers, escalate appropriately, and keep stakeholders aligned.
  • Has relevant experience. You bring 3+ years of experience in project management, implementation, onboarding, or client operations (SaaS preferred; healthcare or EMR experience strongly preferred).
  • Is comfortable managing multiple client projects simultaneously. You can balance competing timelines and priorities without sacrificing quality.
  • Is confident working with data and validation processes. You’re comfortable using spreadsheets and QA workflows to ensure accuracy and completeness.
  • Is based in EST or CST (preferred)

Nice To Haves

  • Brings experience in healthcare tech or regulated environments (preferred). Familiarity with EMR systems or healthcare operations is a strong plus.

Responsibilities

  • Own multiple client data and EMR migrations simultaneously, driving projects from kickoff through go-live with on-time, high-quality launches and minimal escalations.
  • Serve as the primary point of contact for clients during the migration process, setting clear expectations, leading kickoff calls, defining timelines and scope, and providing proactive updates throughout.
  • Build and manage detailed migration project plans, track dependencies and risks, and remove blockers to keep projects moving forward.
  • Coordinate cross-functionally with Product, Engineering, CX, and Compliance teams to ensure accurate data transfer, smooth handoffs, and strong launch readiness.
  • Proactively identify and escalate risks early — whether related to data quality, timelines, scope, or system constraints — and drive resolution quickly and clearly.
  • Oversee quality assurance of migration outputs to ensure data accuracy, completeness, and readiness for launch.
  • Improve and scale migration operations by refining documentation, templates, tracking systems, and QA processes to reduce cycle time and friction as volume grows.
  • Contribute to building a more scalable migration playbook that increases visibility, predictability, and consistency across all client launches.

Benefits

  • Competitive salary and equity
  • Generous health, dental, and vision coverage
