About The Position

The Middle School Administrative Assistant is responsible for ensuring the smooth and efficient operation of the school office, which has a maximum positive impact on the education of children. This position requires a combination of training and experience, with a minimum of three years in a relevant role. The assistant will report directly to the Building Principal and will work throughout the year, maintaining a comprehensive student database, managing office recordkeeping systems, and preparing various documents for the school.

Requirements

  • Any combination of training and/or experience which demonstrates ability to perform the duties as described, but not less than three years total.
  • Experience working at a school site is desirable.
  • Skilled in using technology, office software, and websites.
  • Excellent organizational skills, ability to work independently and maintain a high degree of confidentiality.
  • Successful completion of a criminal record (C.O.R.I.) check and fingerprint check.
  • Completion of postsecondary business school or college preferred.

Responsibilities

  • Implement and maintain all office and school recordkeeping systems.
  • Maintain a comprehensive student database.
  • Use both computer and manual filing systems for efficient information collection, retention, and retrieval.
  • Complete forms including purchase orders, online supply orders, timesheets, evaluation forms, enrollment cards, and rosters.
  • Create and maintain student files.
  • Maintain records for teacher and school budgets, student body funds, attendance, and other related records.
  • Prepare, create, and compose letters, reports, bulletins, and other documents using current technology.
  • Maintain and monitor the school's website and social media accounts.
  • Answer routine correspondence for the administrator.
  • Prepare documents from rough drafts, notes, recordings, or oral instructions.
  • Prepare reports from confidential records.
  • Operate computer and standard office equipment.
  • Provide technical support to staff as needed.
  • Act as a liaison between the school site and the general public.
  • Greet and direct visitors.
  • Address standard inquiries by letter, phone, e-mail, fax, or personal contact.
  • Maintain internal communication systems to keep instructional and support personnel informed.
  • Coordinate the transfer of information between site/program and outside agencies and districts.
  • Interact with and assist students when necessary.
  • Assist students and parents/guardians by explaining and enforcing school site requirements.
  • Communicate as necessary with the supervisor.
  • Maintain confidentiality of records.
  • Receive training and administer minor first aid.
  • Ensure that appropriate calendars of activities are maintained for the school.
  • Assist in the process of transitioning new students.
  • Generate daily substitute list.
  • Assist in arranging and scheduling substitute and temporary employees.
  • Greet substitutes and assist with directions and questions.
  • Assist administrator and other staff in planning and preparing for meetings and workshops.
  • Participate on the Building Crisis Team.
  • Assist in the development of office procedures.
  • Ensure that appropriate security and safety policies and procedures are followed.
  • Order supplies and equipment for the school/program.
  • Perform other related duties as assigned by Administration.
