The Manager Health Information Operations is responsible for managing system-wide HIM functions including deficiency management and physician support, document imaging and forms management, and record retention and destruction procedures. Ensures processes are performed in compliance with HIPAA and other federal rules, Oklahoma state laws, and requirements of regulatory agencies as well as INTEGRIS policies and procedures. Requirements

  • Bachelors degree in HIM or healthcare related field with 3 years experience OR Associates degree in HIM or healthcare related field with 5 years experience.
  • RHIA/RHIT preferred.
  • Previous experience with HIPAA and other federal rules, Oklahoma state laws, and requirements of regulatory agencies such as CMS and the Joint Commission as they pertain to the management of health information
  • Previous experience using computer systems, including computer applications in health information and electronic health records
  • Previous experience with Health language literacy with the ability to locate and interpret information on forms, documents, and other sources within clinical information systems
  • This job requires the incumbents to operate an INTEGRIS-owned vehicle OR personal vehicle (non INTEGRIS-owned) and therefore must have a current Drivers License from the state of residence, as well as a driving record which is acceptable to our insurance carrier.
  • Must be able to communicate effectively in English (Verbal/Written)

Responsibilities

  • Manages department staff, including hiring, scheduling, training, evaluating performance and competency, and conducting disciplinary/counseling sessions as needed
  • Designs and evaluates workflow and monitors productivity and quality to ensure key performance indicator standards are met
  • Prioritizes/assigns work for timely retrieval of patient records for internal and external audits, research and special projects
  • Ensures organizational compliance with record retention and destruction policies and regulations and oversees storage and destruction activities
  • Evaluates and monitors the environment to effectively manage operations and ensure compliance with professional standards and legal and regulatory requirements; makes recommendations for process improvement, policies, standard procedures, work environment, and safety; actively participates in committees and workgroups
  • Responds to customer concerns regarding HIM operations
  • Assists in the development of the department annual budget and in maintaining monthly expenses
  • Manages the chart delinquency process to include an effective physician suspension procedure
  • Maintains working relationships with physicians and other care providers and provides support to ensure complete and timely documentation
  • Manages document scanning and indexing processes
  • Actively participates in the Forms Committee and related governance activities
  • Collaborates with department leadership and other staff to develop and implement quality and training programs for HIM operations and follows up with action plans and other monitoring as necessary; collaborates with department and system leaders to develop and implement quality and training programs for document imaging processes
  • Evaluates technology and ensures optimal use
  • Assists in all activities related to Health Information Management student assignments in accordance with the agreements from Health Information Management programs
  • Participates in the continuous Quality Improvement program and process improvement programs within the department and organization
  • Reports to assigned leader
