About The Position

Are you a current Psychology student or recent graduate in the human services field looking to build real-world experience in mental health care? Join our Outpatient team as a Mental Health Office Assistant and help create a welcoming and trauma-informed environment that supports both clients and providers! Psychiatric Outpatient Services is an office-based, trauma-informed program, providing comprehensive outpatient treatment for children & adolescents (ages 3-18) and transitional aged adults (ages 18-26). Position Summary: Working under the Outpatient Director, the Mental Health Office Assistant aids in the coordination of services for the Outpatient clients and office. Primary responsibility is to provide support to the Psychiatrist, CRNPs, Therapists, program staff and clients. The ideal candidate would be reliable, organized, detail oriented, and have strong communication skills. This is an onsite part-time position of 20 hours per week. The tentative schedule for this position is Monday-Thursday from 9am-1pm, with flexible hours on Friday!

Requirements

High School Diploma or GED
One or more years of experience in a health care, mental health, or social services environment

Nice To Haves

Experience navigating electronic medical records
Proficiency in Microsoft Office
Experience with Managed Care Organizations and insurances
Experience in customer service or medical reception

Responsibilities

Assist the psychiatrist and CRNPs including vital screenings (when in office) and management of medical staff’s schedules.
Greet, assist, and direct all patients and visitors:
Collect patient responsibilities including copayments, deductibles, new insurance information, and any additional balances owed.
Respond to incoming reception desk telephone calls as needed, including the scheduling of appointments, new referrals, and case management request.
Provide administrative support to the department by aiding in verification of eligibility, clerical work, and ensuring a clean workspace, when needed.
Assisting with billing and insurance rejections
Review billing invoices submitted weekly; checking to ensure completion, times of encounters matching, consents and treatment plans up to date
Contacting families about insurance rejections and gathering updated insurance information
Capture, track, and enter referral data into health records and excel
Manage incoming mail for the program and prepare outgoing mail for psychiatric providers
Coordinate and assist clients with pharmaceutical needs.
Responsible for tracking on-site medications
Ensure client charts via EMR comply with program regulations and agency standards, including daily session verifications and consents for treatment.
Assist with audit prep and client discharges as needed.
Track and input metabolic data in EMR.
Other administrative duties as assigned.
