About The Position

We are a behavioral health organization dedicated to improving the lives of children, adolescents, and adults. Our mission is to provide compassionate, evidence-based care in a supportive and structured environment. We are looking for a detail-oriented, computer-savvy Administrative Assistant to join our team. This role plays a key part in maintaining the integrity and quality of our services across both child and adult behavioral health programs.

Requirements

  • College degree preferred.
  • Previous experience in a receptionist or customer service role, preferably in a healthcare or mental health setting.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and work in a fast-paced environment.
  • Familiarity with Electronic Health Records (EHR) systems is preferred.
  • A compassionate and empathetic demeanor with clients.
  • Knowledge of HIPAA regulations and confidentiality standards.
  • Ability to work well in a team and contribute to a positive office environment.

Responsibilities

  • Greet clients and visitors in a warm and professional manner.
  • Answer phone calls, take messages, and direct inquiries to the appropriate staff member.
  • Schedule and confirm appointments for clients.
  • Maintain a clean and welcoming reception area.
  • Manage client intake forms and ensure all documentation is completed accurately.
  • Process new client registrations and ensure proper data entry into the Electronic Health Record (EHR) system.
  • Handle client payments, insurance verification, and co-payments.
  • Assist in managing the flow of clients and visitors to ensure minimal wait times.
  • Communicate effectively with clinical staff to ensure timely client services.
  • Ensure confidentiality and comply with HIPAA regulations in all interactions.
  • Perform other administrative duties as needed to support the operation of the agency.
