The Membership Sales Coordinator will provide administrative support to the Membership Department and managers. As a Membership Sales Coordinator, assist the Membership Department in a multitude of areas. Assist membership team with potential members, preparing amenities, making reservations, and servicing their many member requests. Our office is very fast paced, so multitasking efficiently to keep up with different projects and any deadlines we may have is a must. Additionally, the Membership Sales Coordinator will maximize the full benefits of the Membership Benefits and personalize it to the needs of the various members at the resort. This person will be the “go to” for all membership information.

Requirements

  • Friendly and outgoing personality.
  • Ability to work a variety of shifts including holidays, weekends, and evenings.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Access, Publisher).
  • Reliable, able to work well under pressure, and consistently meet deadlines.
  • Excellent organizational and communication skills.
  • Ability to effectively perform multiple tasks.
  • Strong understanding of the hospitality industry is helpful.
  • Ability to interface professionally with business contacts and customers.
  • High school graduate or post-secondary education preferred.
  • Fluency in the English language.
  • Customer service experience preferred.
  • Minimum of 2 years of experience in a guest service role.

Responsibilities

  • Updating current members and adding new ones for expense reports.
  • Preparing and processing Purchase Orders as needed for gifts and events.
  • Maintaining Group files (current and past) and organizing Membership Profile Applications.
  • Processing Members Invoices and assisting with billing questions.
  • Assisting the Membership team with any duty necessary to maintain consistency and efficiency.
  • Delivering internal and external guest service the Nemacolin way.
  • Building and retaining guest relations and mentoring other employees.
  • Preparing for Membership Events, Member Group Events, and Special Occasions.
  • Meeting with Members while they are on property to ensure smooth operations.
  • Assisting Members with requests such as Room Booking, Spa, Dinner, Tee Times, and Activities.
  • Ensuring special occasions of Members are acknowledged and celebrated.
  • Answering the phone in a kind and cordial manner while taking reservations.
  • Maintaining knowledge of the whole resort and different membership types.
  • Performing other job duties as assigned.
