About The Position

The Membership Coordinator is responsible for engaging with members and performing administrative tasks related to member services at the front desk of the fitness center. This role involves delivering exceptional customer service to all visitors, ensuring a positive experience for everyone who enters the facility.

Requirements

  • Must have current CPR certification and First Aid Certification.
  • Ability to work a variety of hours on occasion, including evenings, early mornings and weekends and at YWCA Tulsa events when budget allows.
  • Excellent verbal and written communication skills
  • Requires strong communication skills via telephone, email and in person conversation.
  • Ability to establish and maintain cooperative working relationships with personnel and stakeholders at all organization levels.
  • The ability to work independently and on a team environment.
  • Must be able to read and write in English, fluency in Spanish is a plus.
  • Excellent organizational development skills.
  • Intermediate to advanced skills in Microsoft Office products and membership databases.
  • Ability to make decisions in the best interest of the YWCA.
  • Must be an advocate for the mission, values and goals of the YWCA Tulsa.

Responsibilities

  • Achieve Health & Wellness Revenue and Program Goals Goal: Increase membership retention and program participation by 5% each quarter.
  • Ensure Timely Communication and Customer Service Goal: Respond to 95% of inquiries (phone, email, in-person) within 24 hours and maintain a 95% customer satisfaction rating.
  • Build Positive Relationships with Members and Guests Goal: Receive at least 90% positive feedback on member and guest interactions.
  • Maintain Knowledge of Membership Systems and YWCA Programs Goal: Achieve 100% proficiency in front desk operations and membership systems within the first month of employment.
  • Assist with Membership and Program Applications and Data Entry Goal: Ensure 100% accuracy in processing applications and database entries within 24 hours.
  • Monitor and Ensure Facility Policy Compliance Goal: Perform monthly policy compliance checks with 100% adherence to procedures.
  • Maintain Clean and Organized Work Area Goal: Keep front desk and common areas clean throughout shifts with a cleanliness check every 2 hours.
  • Lead Facility Tours and Promote Health & Wellness Programs Goal: Conduct 5 tours per week with a 50% conversion rate to membership and actively promote 2 programs/events per week.
  • Manage Payments and Collections Accurately and Facility Usage Data Goal: Ensure 100% accuracy in processing payments and collections, with no more than ONE discount per membership. Maintain facility usage numbers during all working hours on designated spreadsheet.
  • Report Incidents, Equipment Issues, and Safety Hazards Goal: Submit all incident and equipment reports within 24 hours and follow up on corrective actions.
  • Support Team Collaboration and Attend Mandatory Meetings Goal: Participate in 100% of mandatory meetings and collaborate with team members to complete tasks on time.
  • Ensure Member Safety and Well-Being Goal: Conduct daily safety checks, ensuring 100% adherence to safety protocols and preventing incidents.
  • Adhere to Professional and Clean Dress-Code Goal: To always represent the YWCA in a positive and professional manner with personal hygiene and appearance
