About The Position

We’re hiring a dependable and detail-oriented Membership Coordinator to support daily operations and deliver exceptional service to Gradient’s growing member base. This role reports to the Membership Manager and works closely with both the Membership and Finance teams. You’ll help manage member communications, conduct tours, maintain CRM records, support onboarding and billing, and ensure a welcoming, organized space. Ideal for someone with strong organizational and customer service skills who wants to grow in operations or community-driven work.

Requirements

  • Customer service or admin experience (training provided)
  • Strong organizational and written communication skills
  • Familiarity with Gmail, Google Docs/Sheets, and macOS
  • Friendly, professional, detail-oriented, and dependable
  • Able to lift up to 50 lbs and handle multiple tasks at once

Responsibilities

  • Monitor inbound membership inquiries and route appropriately
  • Conduct tours and complete email follow-ups using templates and standard processes
  • Confirm staging readiness before tours (signage, cleanliness, etc.)
  • Log tours and outcomes in Google suite and CRM
  • Assist with group tours for partners and events
  • Confirm new member systems and communications onboarding
  • Assist with member orientations when required
  • Maintain clean, up-to-date member and lead records in OfficeRND
  • Assist in tagging, filtering, and reporting leads by status
  • Generate weekly member activity and occupancy reports
  • Track aged receivables and assist with follow-up communications
  • Work with Finance to update member billing records as needed
  • Prepare summary of billing exceptions and actions for review
  • Serve as first point of contact for day-to-day membership requests
  • Assist Membership or Events team with setup, signage, and logistics for occasional events, tours, or partner visits when required
  • Greet guests and support a welcoming member environment
  • Maintain templated communications for retention or updates
  • Monitor member Slack channels and respond or escalate member questions
  • Assist with internal community newsletters, event reminders, or satisfaction surveys
  • Help maintain public-facing membership signage and basic info boards
