ENA offers a flexible hybrid work schedule that allows employees the opportunity to work from the office two days a week and at home three days a week. We are headquartered in Schaumburg, Illinois. The Meetings Manager is responsible for all external ENA event planning. This position also contributes to strategy development as well as ensures logistical and onsite execution, vendor contracting and management, and budget reconciliation. The Meetings Team is responsible for all external ENA events, including but is not limited to Day on the Hill, Leadership Conference, and Annual Conference.

Requirements

  • Bachelor’s degree in Business or related discipline
  • Minimum of 5 years of demonstrated management experience in exhibits, meetings, and events.
  • Experience with registration and housing software platforms
  • Excellent organizational skills with the ability to work well under pressure
  • Excellent collaborative communication and interpersonal skills
  • Experience planning and executing educational programming
  • Team-oriented, including strong leadership skill, and ability to work independently
  • Ability to collaborate, with appropriate leadership qualities

  • Detail oriented
  • Ability to manage projects and prioritize multiple and varied tasks within established deadlines
  • Computer proficiency in Microsoft Suite of Products

Responsibilities

  • Participates in the planning and managing of logistical functions for all ENA external events including contract negotiation, site visits, space planning, housing, food and beverage, registration communication and reporting, signage, virtual platforms, and other related logistics.
  • With support from the Director, Meetings, serves as Event Leader by managing on-site logistics for members, staff and volunteers to ensure successful execution of all activities leading up to, during and after conference/meeting timeframes.
  • In partnership with Director, Meetings, creates and oversees the development of meetings specifications including session layouts, oversees implementation of all pre-, on-site, and post-meeting logistical arrangements, including arranging and managing meeting room setups, audio/visual and catering requirements.
  • Participates as Event Lead in strategy brainstorming sessions regarding future potential events and opportunities for the Emergency Nursing community.
  • Collaborates with the Director, Meetings in RFP processes for all ENA external events.
  • Manages the inventory, purchasing process and distribution of all show materials and giveaways for external events and meetings team.
  • Maintains historical and accurate records and creates budgets including forecasting for future expenditures for all ENA external events.
  • Oversees the review and reconciliation of post-meeting bills. Directly manages the review and reconciliation for all ENA external events.
  • Participates in the annual budget preparation process for all meetings and events.
  • Contributes to the workplace culture that is consistent with the association’s culture statement and emphasizes the mission, vision, and values of the organization.
  • Performs other duties as required or assigned.
