About The Position

Summit Spine and Joint Centers (SSJC) is on track to become the largest comprehensive spine and joint care provider in the state of Georgia while providing clinical, surgical, and imaging services to our patients. We are seeking qualified individuals to join our team and provide exceptional patient care! The Medication Line Supervisor is responsible for overseeing the day-to-day operations of the medication phone line team, ensuring timely, accurate, and compliant communication regarding patient prescriptions, medication requests, prior authorizations, and provider coordination. This role requires strong leadership, expert knowledge of eClinicalWorks (ECW), and a firm understanding of state and federal prescription guidelines.

Requirements

  • High School Diploma or GED
  • 3+ years in a healthcare administrative or clinical support role
  • 1+ year supervisory or team lead experience
  • Proficiency with eClinicalWorks, MDToolbox, and CoverMyMeds
  • Strong understanding of HIPAA and PDMP regulations

Nice To Haves

  • Certified Medical Administrative Assistant (CMAA) or equivalent
  • Experience working in a pain management or multi-specialty practice
  • Knowledge of Georgia prescribing regulations
  • Pharmacy technician experience preferred

Responsibilities

  • Supervise and monitor daily medication line activities, ensuring all calls, voicemails, and email requests are processed within established timelines.
  • Review medication-related telephone encounters for accuracy and completeness in ECW.
  • Escalate urgent medication issues (e.g., allergic reactions, missing prescriptions, fraud concerns) to appropriate clinical staff.
  • Ensure consistent application of policies regarding partial fills, early refills, and lost/stolen prescriptions.
  • Train, mentor, and supervise a team of medical receptionists assigned to the medication line.
  • Conduct regular audits and performance evaluations; provide coaching as needed.
  • Coordinate cross-training initiatives to ensure backup support is available.
  • Lead daily or weekly medication line team huddles to address workflow challenges and reinforce best practices.
  • Ensure all medication-related documentation complies with internal policy and regulatory requirements, including PDMP and DEA guidelines.
  • Maintain up-to-date knowledge of prescribing regulations and ensure staff awareness and compliance.
  • Collaborate with providers, MAs, and pharmacy staff to resolve prescription discrepancies.
  • Serve as point of contact for fraud reporting and coordination of responses with internal leadership and pharmacy personnel.
  • Support and troubleshoot use of ECW, MDToolbox, and CoverMyMeds.
  • Monitor the medication line email inbox and ensure timely resolution of provider queries and refill approvals.
  • Generate performance and volume reports on medication line activity for leadership review.
  • Track turnaround times for prior authorizations and prescription fulfillment.
  • Identify trends and recommend workflow improvements.
