The Medical Staff Secretary works closely with and provides administrative support to a diverse clinical team. Reporting to the Practice Manager, this position requires an experienced, polished, and well-spoken professional who performs a variety of administrative tasks with accuracy and timeliness while supporting the philosophy and objectives of the organization.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum of 1 year of experience in the field or in a related area.
  • Experience in health care or corporate sectors.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.

  • Associate degree or higher.

Responsibilities

  • Patient Administration & Scheduling: Enter and continuously update all patient demographic, insurance, referral, and authorization data into the system prior to every patient encounter.
  • Schedule and modify patient appointments in accordance with departmental guidelines and as directed by the physician.
  • Notify the manager, physician, and other relevant staff of any delays in the verification or authorization process.
  • Initiate and ensure the complete gathering of all patient demographic information, insurance verification, and prior authorizations for all appointments, procedures, and testing.
  • Mail necessary documents to patients for upcoming appointments.
  • Answer, screen, and appropriately triage a high volume of communications, including phone calls, emails, faxes, and mail.
  • Research and resolve patient inquiries professionally, always maintaining proper business office decorum.
  • Utilize the EMR to send alerts and flags to appropriate personnel.
  • Screen, prioritize, and distribute incoming mail and faxes for supported physicians.
  • Maintain and manage the physician's daily schedule and Google calendar, including clinical and administrative appointments, and update scheduling systems with current physician availability/on call schedule.
  • Arrange, schedule, and coordinate logistics for departmental meetings, including reserving space, preparing agendas, inviting attendees, and distributing meeting minutes.
  • Process administrative and financial paperwork for the supported team, including payment requisitions, expense reports, travel authorizations, time-off requests, and conference documentation.
  • Schedule and coordinate interviews as needed.
  • Scan and tag all necessary patient documents, reports, and forms into the EMR system as needed.
  • Distribute pertinent reports and results to referring and primary care physicians via fax, mail, or other required methods.
  • Prepare and complete patient-related forms, letters, and other administrative forms for physician review and signature, collaborating with the clinical team as needed.
  • Other duties and/or projects as assigned.
