The Medical Staff Secretary performs assigned data collection and data input of medical provider credentialing and medical staff privilege information and associated activities. Provides additional administrative support to the Manager - MSO, Vice President, and President of Medical/Dental Staff and overall oversight by the Chief Medical Officer. Provides customer service actions that reflect a high degree of professionalism and are delivered in a prompt, courteous, and confidential manner. The Medical Staff Secretary will utilize standard office technology and applications, and credentialing software to perform queries from various informational databases and repositories routinely. All written and verbal communications reflecting provider information are considered private and confidential and should be safeguarded as detailed in HMH Health Information Management and Security policies and procedures.

Requirements

  • High School diploma, general equivalency diploma (GED), GED equivalent programs, and/or other Vocational degrees/certificates
  • Minimum of 2 or more years of secretarial experience.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

Nice To Haves

  • Associate's Degree.
  • National Association of Medical Staff Services (NAMSS) certification.

Responsibilities

  • Receives incoming office visitors, and telephone calls, records accurate messages, and places outgoing calls.
  • Coordinates correspondence with the Medical Staff via email.
  • Orders and replenishes food and beverages contained in the Physicians Lounge daily. (Monday - Friday)
  • Notifies appropriate Food Service, Environmental Services, and Facility Maintenance departments for service, repair of equipment, or cleaning of the Physician Lounge.
  • Order office supplies and maintain inventory.
  • Maintains a current listing of physician email addresses and contact telephone numbers and distributes as directed.
  • Produces On-Call schedules for all Departments, distributes and communicates changes as received.
  • Provide administrative assistance with department projects as requested.
  • Assist in the preparation of accreditation surveys (TJC, CMS, etc.)
  • Assist with board actions following approval of the Board of Trustees.
  • Assist with numerous physician social and administrative functions hosted by the medical staff.
  • Maintain files for medical/dental staff ensuring that all documents are on file and current.
  • Track expired provider documents (license, insurance, etc), enter CME credit, and assist in medical/staff mailings, reappointments, applications, and various medical staff projects.
  • Responsible for maintaining student documentation and monthly data input to facilitate the onboarding process for Student Rotation for the contracted schools, Student Observers, and Student Educational Experiences.
  • Coordinate Chairman/Division Directors regarding medical staff meetings.
  • Prepare and distribute agenda, meeting notices, and materials and communicate to members prior to meetings.
  • Attend department/division meetings as assigned and accurately record minutes.
  • Provide support to committees as assigned.
  • Other duties and/or projects as assigned.
