About The Position

The Medical Secretary will manage physician(s)’ day-to-day schedule and coordinate clerical activities related to completion of patient care, adhering to the highest standards of confidentiality.

Requirements

  • Must display an understanding of medical terminology.
  • Must have prior experience in a medical office and display an understanding of physician clinic procedures.
  • Must show the ability to have excellent interpersonal skills and communication to interact with all walks of life, internal and external to UCA, from all educational or cultural backgrounds.
  • Must show the ability to work independently or within a team in a fast-paced environment.
  • Must be able to type documents, email, forms, and other communications quickly and with minimal to no errors.
  • Must show proficiency in use of a variety of office equipment including a PC, Windows, MSOffice, EMR system, multi-line telephone, copier, facsimile machine, etc.
  • Must show the ability to maintain confidentiality, including strict adherence to HIPAA and UCA Guidelines.
  • Must have a high school diploma or GED equivalent.

Responsibilities

  • Manage physician’s schedule – to include scheduling patient appointments, canceling patient appointments, rescheduling patient appointments.
  • Managing telephone calls from patients, other physicians, and other staff; take messages for physicians and nurses; follow-up with those phone calls and take care of patient and physician requests.
  • Correspondence with insurance companies.
  • Enter charges daily into EMR system.
  • Balance daily collections and send to Homewood office.
  • Medical record requests; retrieval of and delivery to/from appropriate providers.
  • Referrals and pre-certifications.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Prepare consults, surgeries and admissions forms and forward to surgery schedulers.
  • Schedule consults with other physicians, tests and procedures at UCA Homewood office and/or outside facilities.
  • Complete FMLA papers at patient’s request.
  • Fill-in as needed with patient check-in and check-out.
  • Patient insurance verification and verification of patient demographics.
  • Assists other secretaries in office and company, which may include some travel to other outlying offices or the Homewood office location.
  • Attends staff meetings as required.
  • Conducts self in accordance with UCA’s policies and procedures.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
  • Other duties as assigned.
