The Medical Secretary position is a full-time role primarily focused on patient care coordination and administrative support. A significant portion of the week (20-25 hours) is dedicated to managing the Aledade Care Gap List, which involves patient outreach, planning, printing huddle sheets for pre-visit planning, making care gap reminder calls using various data sources (HEDIS dashboard, UDS data, insurance portal data), and assisting with HEDIS audits and insurance risk reviews. This also includes managing care gap lists for specific insurance providers (UHC Medicaid, Optum, Aetna Medicaid, Molina) and uninsured patients, as well as working attribution lists for patients assigned but not registered to CVHS. The remaining time (15-20 hours) is spent on general administrative and patient support tasks such as answering and directing phone calls, obtaining patient medical records from outside providers, assisting providers with external communications, helping with Durable Medical Equipment (DME), Home Health orders, and prior authorizations. The role also involves scanning outside medical records and forms into the Electronic Health Record (EHR) and entering medication refill requests. Additionally, the Medical Secretary may be assigned duties related to Patient Service Representative (PSR) or Front Desk coverage, which include scheduling appointments, patient registration, updating demographic and insurance information, scanning documents, processing co-pays and patient account balances, and handling daily batch, deposit, and log forms.
