About The Position

The Medical Secretary position is a full-time role primarily focused on patient care coordination and administrative support. A significant portion of the week (20-25 hours) is dedicated to managing the Aledade Care Gap List, which involves patient outreach, planning, printing huddle sheets for pre-visit planning, making care gap reminder calls using various data sources (HEDIS dashboard, UDS data, insurance portal data), and assisting with HEDIS audits and insurance risk reviews. This also includes managing care gap lists for specific insurance providers (UHC Medicaid, Optum, Aetna Medicaid, Molina) and uninsured patients, as well as working attribution lists for patients assigned but not registered to CVHS. The remaining time (15-20 hours) is spent on general administrative and patient support tasks such as answering and directing phone calls, obtaining patient medical records from outside providers, assisting providers with external communications, helping with Durable Medical Equipment (DME), Home Health orders, and prior authorizations. The role also involves scanning outside medical records and forms into the Electronic Health Record (EHR) and entering medication refill requests. Additionally, the Medical Secretary may be assigned duties related to Patient Service Representative (PSR) or Front Desk coverage, which include scheduling appointments, patient registration, updating demographic and insurance information, scanning documents, processing co-pays and patient account balances, and handling daily batch, deposit, and log forms.

  • HS graduate with medical office experience

Responsibilities

  • Work Aledade Care Gap List: including outreach and Todo list planning
  • Print huddle sheets-Diagnosis Dismissal Pre-Visit planning based on site’s need
  • Care gap reminder calls, using HEDIS dashboard, UDS data, insurance portal data, and other information available; includes reminding patients to return FIT test cards
  • Assist with HEDIS audits and insurance risk reviews
  • Assist with UHC Medicaid and Optum care gap list and use of Practice Assist
  • Assist with Care Gap List for uninsured patients including outreach
  • Work attribution list for patients assigned but not registered to CVHS
  • Answer phones at or near nurses’ station and direct calls via instant messaging or telephone encounter to appropriate nurse/provider or help to resolve issue if able
  • Obtain patient medical records from outside providers
  • Assist provider by calling outside providers and agencies when requested
  • Assist with DME, Home Health orders, and/or prior authorizations for services
  • Scan outside medical records and/or forms into the medical record
  • Enter medication refill requests in eRx- key information included in TE: Last time seen as medical patient, any upcoming appt, medical attached correctly, date of last time prescription was sent, Last time seen as medical patient, any upcoming appt, medical attached correctly, date of last time prescription was sent
  • Other duties as assigned
  • Answer phones, routing calls appropriately, document messages and sending to the appropriate person/group (when providing PSR or Front Desk Coverage)
  • Assist with scheduling, cancelling, re-scheduling appointments (when providing PSR or Front Desk Coverage)
  • Assist with all duties of the patient registration process (when providing PSR or Front Desk Coverage)
  • Entering/updating patient demographic and insurance information (when providing PSR or Front Desk Coverage)
  • Scanning, saving, and printing patient’s documents (when providing PSR or Front Desk Coverage)
  • Assist in processing co-pays and patient account balances (when providing PSR or Front Desk Coverage)
  • Processing daily batch, deposit, and log form (when providing PSR or Front Desk Coverage)
