About The Position

The Medical Secretary for Midwife Services is responsible for registering and checking in patients for outpatient appointments, collecting co-pays, and scheduling follow-up appointments. This role involves coordinating referrals to both internal and external healthcare providers, entering data into Electronic Medical Records (EMR), and communicating with outpatient clinicians to enhance patient care. Additional duties may be assigned as needed. This is a part-time position requiring 24 hours every two weeks, specifically on Tuesdays and Wednesdays from 8:15 AM to 4:45 PM.

Requirements

  • High School Diploma or GED Equivalent required.
  • BLS through the American Heart Association.
  • 1-2 years experience in Customer Service required.
  • Previous experience working in a medical office setting preferred.
  • Previous computer experience preferred (Microsoft Office).
  • Previous experience with Electronic Medical Records (EMR) and data entry preferred.

Nice To Haves

  • Graduate of a Medical Administrative Assistant program preferred.
  • Bilingual preferred.

Responsibilities

  • Registers and checks-in patients for outpatient appointments.
  • Collects co-pays and schedules follow-up appointments.
  • Coordinates referrals to internal and external healthcare providers.
  • Enters data into Electronic Medical Records.
  • Communicates and collaborates with outpatient clinicians to support and enhance patient care.
  • Greets clients professionally and advises the appropriate provider of specific client issues.
  • Answers phone calls promptly and courteously, responding to requests and dealing with crisis calls.
  • Schedules clients using critical thinking skills to assign the appropriate provider.
  • Contacts new clients to encourage compliance and enhance the client experience.
  • Maintains a confidential, safe, client-focused office.
  • Assures timely and accurate distribution of messages and mail.
  • Assists with charge entry, insurance authorization, and verification.
  • Maintains documents and related supplies for providers.
  • Coordinates and processes requests for Protected Health Information (PHI).
  • Supports quality improvement activities and ensures compliance with policies and regulations.
