About The Position

Counseling and Psychological Services: Counseling and Psychological Services is home to an interdisciplinary team of full-time psychologists, social workers, mental health counselors, treatment coordinators and support staff who are fully committed to the success and well-being of our students. The Opportunity: The University of Central Florida’s Counseling and Psychological Services (CAPS) is seeking a professional and detail‑oriented Medical Secretary I to provide essential administrative support in a fast‑paced mental health setting. This position serves as a key point of contact for students and clients and plays an important role in creating a welcoming, respectful, and confidential environment.

Requirements

  • High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • Ability to maintain confidentiality.
  • Ability to quickly learn new policies and procedures and computer software programs.
  • Ability to prioritize assigned projects.

Nice To Haves

  • 1+ year experience working in a medical, clinical, or mental health office setting.
  • Experience providing front desk and high‑volume telephone coverage in a healthcare or administrative environment.
  • Experience using electronic records systems, scheduling platforms, or similar administrative software.
  • Experience handling confidential or protected health information (PHI) in compliance with privacy standards.

Responsibilities

  • Serve as the first point of contact for Counseling and Psychological Services clientele and the campus community at large.
  • Create a welcoming, nurturing, and respectful environment for clients.
  • Electronically check-in arriving clients, process all initial electronic client data, and follow-up contact as needed and/or assigned.
  • Assist clients with electronic check-in processes and procedures.
  • Schedule/reschedule appointments.
  • Observe client behaviors and report to Counselor anything of significance.
  • Work effectively with individuals from varied backgrounds and experiences, including those with psychological challenges or those in distress.
  • Provide primary telephone coverage; assess nature of client calls; determine if immediate assistance by a counselor is indicated; create a professional image of CAPS through responsive, respectful telephone behaviors.
  • Follow established CAPS opening and closing protocol.
  • Provide support to professional staff and CAPS projects as requested in a timely manner.
  • Perform other duties as assigned.
