About The Position

This position provides high‑quality, patient‑focused customer service by managing a high volume of inbound and outbound calls related to medical imaging scheduling and registration. The role plays a key part in ensuring accurate data entry, efficient scheduling, and excellent communication with patients, families, and clinical partners. All work is completed in Epic, following department guidelines and HIPAA standards.

Requirements

  • High school diploma or GED
  • Strong medical terminology knowledge
  • Prior medical scheduling or healthcare call center experience
  • Experience working with clinicians, nurses, and providers
  • Comfortable handling high‑volume phone environments
  • Strong attention to detail and accuracy when working in patient charts
  • Ability to multitask, prioritize, and think critically
  • Passion for patient care and providing a high level of service to families

Responsibilities

  • Manage 100+ inbound and outbound calls per day, primarily focused on scheduling medical imaging appointments
  • Schedule appointments across five imaging modalities, including: X‑ray Ultrasound MRI CT Pediatrics Nuclear Medicine
  • Average call length is approximately 5 minutes, with more complex modalities requiring additional time and coordination
  • Create and update patient charts in Epic, including demographic and insurance information
  • Accurately enter written and faxed provider orders into Epic and route documentation to the appropriate department (HIM)
  • Transcribe new referrals from phone or fax and submit for clinical triage per division guidelines
  • Verify insurance eligibility, obtain referrals, and collect patient financial responsibilities (copays, balances, self‑pay, estimates)
  • Provide patients and families with clear next steps and expectations for upcoming visits
  • Respond to hospital and department-related inquiries from patients, parents, providers, nurses, and internal staff
  • Facilitate effective communication by retrieving, documenting, and distributing messages through Epic or other systems
  • Follow established scheduling guidelines and use internal knowledge‑based tools to support accuracy and efficiency
  • Meet department performance metrics, quality standards, and service level expectations
  • Maintain patient confidentiality and strict adherence to HIPAA regulations
